Clinical Administrator

**Overall Purpose of the Position**:
The clinical administrator (Gates) works at the research site supporting and assisting with the daily data and administrative tasks ensuring the optimal and smooth running of the day-to-day study activities. The role will be primarily linked to the Gates study but may be applied to other studies at the site where applicable.

**Key Performance Areas (KPAs) & Responsibilities include, but not limited to**:
**Follow up on Referrals**
- Coordinating and following up on referrals received from clinic facilities, recruiters, and community workers.
- Ensuring timely communication and coordination with all relevant stakeholders.

**Recruitment Support**
- Acting as a liaison between the site and the recruitment team.
- Assisting study staff with providing feedback to the recruitment team and improving referral practices.

**Pre-Screening Assistance**
- Assisting with administering pre-screening questionnaires to volunteers using Realtime systems.
- Ensuring accuracy and completeness of pre-screening data.

**Visit Scheduling**
- Assisting with scheduling study visits for participants.
- Coordinating with participants to ensure they are informed of their visit schedules.

**Realtime Management**
- Providing Support in managing Realtime systems, including data entry and system maintenance.

**Administrative Support**
- Assisting the Clinical Trial Assistant (CTA) with various administrative duties as required.
- Assisting the site with quality checks

**Retention Process Implementation**
- Taking responsibility for the implementation of the retention process, ensuring participant retention throughout the study duration.

**Participant Communication**
- Communicating with participants via telephone calls to schedule study visits and provide necessary information.

**Pick-Up Schedule Assistance**
- Assisting with coordinating pick-up schedules if required for study-related materials, equipment, and/or participants.

**Ideal Requirements**
- Matric with Tertiary certificate or diploma in Medical Admin/Related field, Auxiliary Nursing and/or Office Management
- Preferably 1 to 2 years of experience working on a clinical trial in an administrative support role and/or Basic data capturing experience.
- Computer literacy - able to use Word, PowerPoint and Excel at intermediate level.
- Good literacy and numeracy abilities
- Driver’s License (Advantageous)
