Group Executive Assistant

The Coreline Group has an exciting opportunity available for an Executive assistant. This assistant will be the link between all EXCO members. The roles and responsibilities for this role are explained below.
The Coreline Group provides solutions within the Telecoms, Energy, and Construction industries. We offer a variety of services such as planning, supply and implementation. We deliver services according to a tested methodology and meet challenges with innovative solutions.
Please also note that this job will operate from Coreline’s South African offices in Tygervalley, Cape Town.
**Role and Responsibilities**:
- Obtain input from relevant stakeholders and to compile agendas for meetings.
- Schedule meetings.
- Appoint responsible parties to give feedback on specific agenda points during meetings.
- Take minutes of meetings.
- Attend teleconferences and summarise meeting content and decisions for distribution to stakeholders.
- Communicate information in meeting minutes to necessary stakeholders and follow up that tasks are executed by such stakeholders by their due dates.
- Be available to EXCO members to assist with organising and arranging tasks.
- Correctly and timeously file company secretarial documentation on internal systems.
- Create, implement and coordinate an organised system to keep all stakeholders up to date of all necessary information, as well as implementing a strategy to ensure tasks are being met by EXCO.
- Provide EXCO with feedback and involve necessary stakeholders when Exco request information for decision making or progress reporting.
- Prepare documents for timeous submissions of annual returns to company secretarial service providers for the respective entities.
- Coordinate and submit legally required documents relating to changes in board members and/or company information of each entity to company secretarial service providers.
- Maintain a register of shareholders’ and directors’ resolutions and store them on the network upon receipt.
- Data Management: Archive and delete relevant documents on internal systems
- Oversee the process of providing internal documents to compliance officers for monitoring review purposes.
- Scope includes United Kingdom and South Africa group entities.
**Skills and Qualifications**
- Excellent MS Office skills with a strong focus on MS Excel.
- Critical thinker with problem-solving skills.
- Ability to analyse, integrate and interpret information
- Good interpersonal, presentation and communication skills.
- At least 5 years’ experience in a similar administration role.
