Personal Assistant / Office manager. (Film Industry - Special Effects)

Female - Young at heart and vibrant.

In order to fulfill this role, you will need to be an excellent organizer and communicator with a proactive and friendly attitude. You will need to be flexible with a multi-tasking ability.

You will need to work well under pressure at times, to meet tight deadlines. Attention to detail, ability to prioritize and work independently, will be required.

Our office and workshop is on a farm, so love of dogs and chickens is a non-negotiable requirement.

A minimum code 8 drivers license is required, and own reliable transport as the office is not on any major bus routs.

Employee requirements:
1. Fluent in English

2. Trustworthy, reliable, presentable and punctual.

3. Computer literacy with regards to MS Office packages and experience with Xero invoicing and accounting package.

4. Must have previous experience in an office environment

5. Excellent communications skills (written and spoken)

6. Attention to detail essential

7. Ability to learn quickly and adapt.

8. Must be a logical thinker, able to think on their feet and deal with emergencies or unforeseen circumstances, calmly and efficiently.

9. Must be comfortable with working alone in the office.

10. Must have a valid driving license.

Duties and Responsibilities:
1. Assist in mediating with role-players (clients, suppliers, contractors and sales) to ensure smooth roll-out / logistics of projects & film shoots.

2. Opening and closing of office / workshop.

3. Planning, organizing and managing projects / jobs.

4. Invoicing and occasional quotations

5. Purchasing of consumables and goods needed for farm & film projects.

6. Facilities management and General administration.

7. Updating Social media pages and websites

8. Vehicle licensing and maintenance records, and handling insurance claims.

9. Book film crew, check their invoices and overtime.

10. Prepare monthly PAYE spreadsheet for bookkeepers, and deal with any payment queries.

11. Coordinating Housekeeper, to keep office, workshop and cottages clean.

12. Following up on outstanding payments.

13. Reception function, answering all office calls and controlling petty cash.

14. You will be required to perform additional ad hoc and personal tasks for the director, including purchases and assisting with personal errands etc.

**Job Types**: Full-time, Permanent

**Salary**: R15,000.00 - R16,000.00 per month

COVID-19 considerations:
Not anymore, general clendlynes is sufficient.

Ability to commute/relocate:

- Cape Town, Western Cape: Reliably commute or planning to relocate before starting work (required)

**Experience**:

- Administrative office procedures, practices and equipment: 1 year (preferred)

License/Certification:

- Drivers license (required)
