**FACILITIES CO-ORDINATOR**
**(Harrington Street)**
The Facilities Co-ordinator will report to the, Property Managers, Managers and Directors.
Get instructions from Managers and Property Managers and Directors.
**Job Objective**: Facilities and Maintenance
General facilities assistance to Property Managers, Managers an Directors.
**Responsibilities**:
**Inspections and Quotations**
- Of all remedial work required on the property portfolio reported by tenants, clients and Property Manager
- Feedback to Property Manager responsible for particular property after inspection
- Advise Property Manager in terms of appropriate action required
- Advise Property Manager in terms of appropriate contractor/s to be used
- Obtain quote/s from contractor/s for the work required
- Present quote/s to Property Manager with recommendations
**Post Inspection**
- Of all work done by outside contractors for quality control
- Meeting with contractors on site to communicate any quality concerns
**Entry / Exit Inspections**
- Do all of the required entry / exit inspections for each new tenants and tenants vacating the relevant premises.
- Obtain relevant quotes for any work required and present quotes to Property Managers
- Entry Inspection - Obtain quotes for Electrical, Plumbing, Beetle & Gas Certificates of Compliance etc.
- Exit Inspection - Obtain Certificates of Compliance from the tenant vacating
**Building Inspections**
- Complete a building inspection for each building in the relevant portfolio every three months and report to the Property Manger to ensure all action points are finalised
**General maintenance and other**
- General maintenance on the property portfolio including light electrical functions, plumbing, painting and decorating, carpentry and roofing etc.
- Ensure that all maintenance work is checked
- Ensure that monthly contractors e.g., cleaners, gardeners and security etc.are monitored, this includes monthly meetings with all monthly contractors.
- Ensure that recurring job are attended to on a monthly, quarterly, bi-annually or annually basis, whichever is applicable.
- Set implement planned / preventative / emergency maintenance, in conjunction with the Property Managers
- Monitor the quality of services rendered by suppliers
- Liaise with tenant and suppliers with regards to maintenance complaints and queries in general and of a technical nature
- Ensure that deliverables from service providers are met within time, budget and contract
- Carry out technical / housekeeping / take-back /service contract inspections
- Ensure that all tenants meet there maintenance obligations in terms of their lease agreements and to report any breach herein to the applicable Property Manager.
- Set and co-ordinate service level agreements for approved service providers
- Standby-24-Hours maintenance phone
- Meet potential service providers
- Regular feedback to managers and facilities Coordinators
- Supervising and coordinating of Handyman and Suppliers daily tasks
- Dealing with supplier queries.
- Supplier quality control
- Take photos of council meter’s
- Ensuring Health and Safety legislative requirements are met
- Project management assistance, if required
- Work closely with the Facilities department and Facilities Coordinators and Portfolio Managers
**6.** **Administration**
- Ensure all jobs are loaded on MDA.
- Ensure all inspections, photos, all warrantees and guarantees and all maintenance related documentation are loaded on PaperTrail
- Assist the PM by obtaining quotes to enable them to prepare budgets
- Assist PM’s with 3 year maintenance plan where necessary
- Ensure that expenses are within budget and making the Property Managers aware if it exceeds budget and getting the necessary approval.
- Report to management on any issues arising out of the above listed outputs
- Processing Job Cards on Papertrail
- Checking and signing off of invoices
**Salary**: R20,000.00 - R25,000.00 per month
Ability to commute/relocate:
