Our client is looking for an Office Coordinator to join their team.

**Responsibilities**:

- Provide secretarial and administrative services to the Design & Build Division.
- Implement a document management control system in accordance with the Project Coordination Procedure for the various projects.
- Prepare and compile the necessary O&M and as-built documentation for the various projects
- Act as requested by General Manager
- Prepare weekly staff attendance schedules.
- Take type and distribute minutes of divisional meetings.
- General filing.
- Maintain Document Management System
- Order and collect stationery.
- Answer phones and take messages for staff when not in.
- Attend to visitors when required.
- Manage leave forms and update staff leave on the year planner.
- Organise refreshments for D&B HAZOP meetings where necessary.
- Distribute D&B Invoices to responsible Project Managers for signature before final approval from General Manager.
- Follow up on D&B Invoices and expense claims.
- Organise visas & medicals for site personnel as and when necessary.
- Control company vehicles.
- Be part of the document management process. Expedite vendors documentation
- Organise binders (and electronic folders) for the documentation required at project completion.
- Coordinate travel bookings on the NEO system for the D&B division
- Perform any other duties for D & B Projects Department as and when needed.

**Key Skills**:

- Secretarial and Administrative Skills,
- Good communication and organizational skills,
- Computer literacy in Google Suite; Microsoft Word; and Excel; Outlook; and Internet.

**Qualifications**:

- Perform all necessary computer functions.
- Perform all duties to the latest ISO 9001 requirements.
- Work well in a team environment.
- Function as part of a team.
- Ensure total confidentiality of all information, internal and external, pertaining to the business of Veolia Services Southern African (Pty) Ltd, all its Employees, and Management.

**Job Types**: Full-time, Contract
