Assistant Project Manager

**Job purpose**: To assist the project managers at a high administrative level in delivering the training programs for Digify Africa.
Project logistics and admin
Assist Project Manager in delivering projects while proactively problem-solving where necessary.
Being the right hand of the project manager and lead trainer in all administrative aspects.
Taking minutes of meetings for the Project Manager during partner/stakeholder meetings - sending Contact Reports.
Handling all technical dry runs for online training schedules
Liaising with service providers for sessions and events (e.g., caterers, printing, photographers, and ground transportation) - for Face-to-Face sessions
Assisting the project manager in the management of training schedules
Collecting and processing project admin documents and procurement documents for new independent contractors (e.g., ID copies, MOUs, session registers, bank confirmation letters)
Ensure project folders are kept up to date with all required documents filed correctly and labelled suitably with ease of access
Data capturing and creating forms as required for the project
Handle all monitoring and evaluation communication with participants, working closely with the M&E Officer and external M&E partners.
Doing M&E calls/administration as required for the program
Assist Project Managers in gathering and compiling case studies/testimonials for project reporting
At times, doing project reporting if the Project Manager is not available
Ensuring timelines, deliverables, internal processes, and systems are adhered to by external suppliers and independent contractors
Being the right hand that is aware of all aspects of the program to be able to foresee possible risks
Research
Conducting research required by the Project Manager
Compiling and managing project databases (participants, partners, suppliers, etc.)
Project finances
Sourcing quotes and invoices from suppliers required for the project
Managing purchase requests & submitting to Dext for sign-off timeously
Social media
Assist in managing and monitoring social media accounts, including Facebook, Instagram, Twitter and Linkedin.
Schedule and publish engaging content across social media platforms, working closely with digital marketing coordinator
Community management and engagement
Assist in curating and creating content for social media posts, including graphics, videos and written content.
Collaborate with the marketing team to develop content calendars and campaigns aligned with the program goals and messaging.
**Qualification and experience**:
Relevant tertiary qualification or equivalent experience is beneficial.
A certificate in Project Management would be advantageous
Minimum of 2 - 3 years of relevant administrative / project assistant / personal assistant experience
Fully Computer literate in Google Workspace and use of Internet essential
Knowledge and experience in digital community management (advantageous)
