**Cedar Wood Recruitment is now recruiting for a Concierge Airstrip Administrator at a private “Big Five” game reserve adjacent to the Kruger National Park. There are two world renowned lodges within the reserve which form part of an international portfolio of exclusive lodges. The area is an excellent place to observe buffalo, rhinoceros, elephant, lion and leopard. The lodge operations are highly professional providing efficient guest experiences within a fun-loving and outgoing atmosphere which is typical of the group. A hands-on approach is therefore expected of all team members.**
**Key Performance Areas**
- The Concierge Airstrip Administrator is responsible for the day-to-day coordination of all administration concerning guest arrivals, departures and activities. This will include meeting guests at the airstrip on arrival, compiling the day sheet, coordinating arrival and departure flights, taking payment for guest bills on departure and communicating special requests to the Lodge team. The Concierge Airstrip Administrator should assist the Lodge Managers in achieving high standards of service pertaining to administration and ensuring guest satisfaction is of the highest priority. We value feedback and put a lot of emphasis on responding to feedback in the running of all aspects of the Lodges_
- Compile the daysheet, in conjunction with confirming flight schedules and ensuring that these are correct
- Meet and greet all lodge guests on arrival with champagne and indemnity form for signing
- Liaise with Reservations on a weekly basis to resolve any queries before the guests arrive
- Liaise with the relevant airlines on a daily basis regarding flight schedules for the day
- Capture guest information data accurately and timeously on HMS
- Complete daily registers and ensure they are correct
- Compile month end reports and forward to the Accounts Department on time
- Carry out all check outs, ensuring that guest bills are correct and that payment is taken and recorded correctly
- Bank cash with Central Services daily
- Book and charge guest activities, excursions and camera rentals as per guest request
- Be present at all times when guests are present at the reception area
- Ensure the welcome area at the airstrip is clean and presentable for arrival guests
- Instruct the Fire Truck Driver as per flight schedule
- Liaise between lodges about guest information and movements
- Host dinner in the evenings at the Lodges once a week
- Assist in lodge operations if and when required
- Play your part in ensuring guests receive the best experience in keeping with the Company’s standards of excellence
- Maintain a high level of hygiene in line with statutory requirements
**Requirements: Qualifications, Skills, Knowledge, Experience**
- Preferably 3 years’ experience in 5 Star Establishments in front office
- Hotel or Tourism School (or similar qualifications) would be beneficial
- Excellent computer skills ie. Microsoft Office Package and Reservations Systems such as HMS
- Excellent English language skills, both spoken and written
- Driver’s license essential
- An understanding of administration, with a methodical approach
- Excellent computer skills
- Efficient and thorough approach to ensuring guest accounts are correct
- Accuracy when compiling guest bills, payments and balancing spreadsheets
- Willing to work flexible hours around guest arrival and departure times
