Facilities Manager

Coordinateoffice activities and operations to secure efficiency and compliance to company policies
Supervise clerical staff and divide responsibilities to ensure performance
Generate, monitor and communicate the monthly/quarterly/annual calendars for the business
Support budgeting and bookkeeping procedures
Handle petty cash and maintain related records
Create and update records and databases with personnel, financial and other data
Submit timely reports and prepare presentations/proposals as assigned
Ensure that the premises are accessed in accordance with the company’s procedures and policies on health, safety, and security
Oversee and administer contracts with service providers for functions such as catering, cleaning, parking, security, maintenance and technology
Advise the businesse on measures to improve the efficiency and cost-effectiveness of the facility
Ensure that basic facilities are well-maintained and proactive maintenance is performed
Ensuring that facilities meet compliance standards and government regulations
Undertake projects or additional specific tasks, as directed by management
Provide reports to management about the facility’s infrastructure
Train and support other members of the premises
Mentor less experienced colleagues in a supportive environment.
Share knowledge and good practice with colleagues.
Ensure that filing systems are up to date
Coordinate and collate security and cleaning KPI’s for the premises
Administration for the security plan and related security RA’s
maintain good relationships with a wide range of clients, suppliers, employees, managers, contractors, executives and other stakeholders.
**Health & Safety**:
1. Serve as the appointed First Aider or equivalent.
2. Perform fire safety duties regarding fire alarm testing as and when required by management (following appropriate training), fire extinguisher use (following appropriate training), collect signing in/ out logbooks for staff and visitors on the sound of fire alarm in line with procedures and risk assessments.
Matric and a post-matric qualification (i.e. Diploma/Degree/professional certification) in Office Administration, Facilities Management or related field
3-5 Year’s work experience in a Facilities Administrator role and at least 1-2 years experience in the same role will be an advantage
Microsoft Word (Advanced) - tables, formatting, templates, etc.
Microsoft Excel (Intermediate) - graphs, charts, data sorting, etc.
Microsoft Outlook (Advanced) - calendars, meeting invitations
Microsoft PowerPoint (Intermediate) - presentations,
Strong digital literacy skills e.g. digital calendars, cloud storage, social media, GPS navigation, etc.
Good written and verbal communication skills in English
Clear credit and criminal record
Driver’s license
