**The Role** Job Purpose**:
The role is accountable for planning and coordinating the activities of the Executive team. Important functions of this role include coordinating diary activities, setting up meetings and making travel arrangements (international and national). The incumbent is expected to work independently in anticipation of the Executives’ role requirements to achieve the relevant divisional objectives. The professionalism of this position is critical to ensure that the Executive’s productivity is not hampered due to inefficiencies with regard to the day-to-day activities. It is critical that this position deals with matters in the appropriate manner to ensure mínimal referral to the Executives and understand the confidentiality of matters. This includes but is not limited to the screening of all calls, diverting calls to relevant staff member, dealing with complaints, compliments etc. The Staff Services Attendants and Receptionist will report into this role.

**Duties**:

- To manage the CEO and Executives diaries to ensure efficient planning of activities and to support with any additional requests/requirements
- To timeously and accurately book and schedule all travel requirements.
- To resolve queries within own scope of practice in order to reduce unnecessary referrals to the CEO and Executives
- To maintain and manage all departmental administration, ensuring the accuracy thereof
- To fulfill the event management function for Executive Manager
- To maintain value adding relationships with stakeholders
- To manage the operations staff services team
- To continuously develop personal expertise to drive personal growth

**Skills and Experience** Minimum Requirements**:

- 5 years’ experience of which at least 2 are in a senior secretarial capacity
- Grade 12
- One year Secretarial / Business diploma or studying towards a Secretarial / Business Diploma or any tertiary qualifications
- Drivers license and own vehicle

**Required Knowledge**:

- Knowledge of relevant Policies, Procedures, and relevant Legislative frameworks
- Knowledge of diary management,
- Knowledge of company history and structure,
- Knowledge of relevant systems
- Knowledge of filing systems
- Knowledge of financial processes relevant to role
- Knowledge of business and management principles
