- Summary of role: _Manage and prioritise Sales Director's time and execute various administrative responsibilities within the sales department.

**Duties & Responsibilities**

Assisting Sales Representatives.

Receive and create job orders and quotations.

Creating files for every job order nationally.

Filling of job order files.

Capturing job orders on Afrit system/Syspro.

Editing job orders in case of changes.

Checking all job orders on the system, making sure they are captured correctly.

Administering the attendance register of the Sales department.

Assisting with switchboard.

Manage and maintain the SD’s diary and phone calls.

Screen calls, highlight urgent correspondence and print documents.

Ensure busy diary commitments, papers and travel arrangements are managed effectively including producing a daily folder with diary, necessary papers etc. and troubleshooting problems.

Discuss upcoming engagements, invitations and other requests.

Schedule on behalf of the SD meetings between him and his direct reports and the committees and groups to which he is a member.

Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the SD match his requirements.

Filter general information, queries, phone calls and invitations to the SD by redirecting or taking forward such contact as appropriate.

Ensure the SD is fully briefed on, or prepared for, any engagements he is involved in.

Keep and maintain an accurate record of papers and correspondence on behalf of the SD.

Prepare correspondence on behalf of the SD, including the drafting of general replies.

Ensure guests meeting with the SD are well taken care of.

Provide a service that is in line with the SD’s work habits and preferences.

Plan and manage the SD’s diary effectively.

Filter telephone calls, appointments etc. to ensure effective and efficient time management.

Perform all duties related to data capturing.

Liaise and communicate with clients.

Protrude a positive image of the company.

**Desired Experience & Qualification**

Completed Matric

Relevant qualification (beneficial)

3 years experience as PA/Snr Administration

3 years experience in Sales Administration

Computer literate: MS Office (Advanced skills)

Previous experience on Syspro or ERP system (essential)

Shorthand and excellent typing skills, speed and accuracy (essential)

Ability to commute/relocate:

- Pretoria, Gauteng: Reliably commute or planning to relocate before starting work (required)

**Education**:

- High School (matric) (required)

**Experience**:

- Personal Assistant: 3 years (required)
- Sales Administrator: 3 years (required)

License/Certification:

- Drivers licence (required)
