**Role Purpose**

As Executive Assistant you will provide quality, high-level support to Namene Solar's Managing Director. You will work closely with the various internal and external stakeholders to anticipate the Managing Director’s needs, ensuring that information is well interpreted and organised to inform the right level of support or intervention required. You will also provide administrative assistance to the wider leadership team (currently consisting of 6 members).

This is a busy role in a fast-paced environment, so you will need to be adaptable, nimble, resilient, and proactive with a professional attitude, willingness to help and ability to remain tactful at all times.

**Responsibilities**

Main duties and responsibilities include:

- Managing diary requests and coordinating schedules
- Organising domestic and international travel (flights, transfers, accommodation)
- Processing of expenses and general correspondence
- Scheduling board, leadership and project meetings
- Provide administrative support to members of the leadership team as and when required, in consultation with the Managing Director.
- Coordinating and distributing meeting agendas, taking minutes, and following up on actions
- Handling confidential information, ensuring any sensitive documentation is appropriately managed.
- Facilitating contracts & other relevant agreement signatures, gathering information for approval and ensuring proper filing.
- Ad-hoc project management (e.g., onboarding new starters, getting them set up on relevant systems and ordering their equipment)
- Supporting with presentations and reports formatting in line with the company communication guidelines
- Collaborate with Communications and other colleagues to organise and facilitate company-wide events, meetings, and internal messaging

- Essential_
- Extensive experience as an Executive Assistant or a similar role
- Proactive with a can do attitude
- Excellent communication skills - written and oral
- Excellent planning, organising and prioritising skills
- Excellent problem assessment and problem-solving skills
- Strong attention to detail and accuracy
- Highly flexible and adaptable to change
- Proficient user of Office 365, MS Office suite (PowerPoint, Word, Excel etc)
- Project Co-ordination skills
- Desirable Criteria_
- Extensive experience in working with executives in a fast growing company environment.
- Experience working in an international environment
