The Bay Hotel is currently looking for a Receptionist to join our busy team over the season (October - April) on CONTRACT.

The main purpose of the position is to manage and control all operational and accounting aspects of the Front Office including

Reservations. To ensure the smooth and efficient running of the day-to-day Front Desk / Night Audit/Reservations Operation.

**Minimum Requirements**
- Matric
- Minimum of 2 y ears experience in the same or similar position in a luxury hotel environment
- Opera experience required
- Familiar with the duties and procedures of the Front office Reception

**Duties and Responsibilities**
- Responsible for adhering to operating systems and procedures for the Front Desk departments in accordance with Company standards and requirements. The departments would include reservations, reception, switchboard, night audit and porterage
- Responsible for providing and monitoring of guest services throughout the unit in accordance with Company standards and requirements. This would include the extensive contact with guests.
- It is your duty to maximize room revenue, room sales and achieve maximum room rates by monitoring of peak and valley occupancy periods, comparisons with the local markets and industry related statistics.
- Responsible for the financial aspects of the Front Desk Operation by ensuring all charges are raised and any deviances recorded
- Petty cash / Front Office float strictly controlled, and all dockets are correctly authorized
- Daily house lists are correct and timeously distributed
- All debtors are recorded, accounted for, and all supporting documentation is together and passed to accounts department
- Regular float counts are undertaken, and float has adequate change.
- Each shift’s banking is checked prior to deposit in safe
- Each shift’s prelists, correction vouchers / prelists etc. are authorized and checked and passed to Night Auditing
- Report any faulty equipment to management
- Responsible for the administrative aspects of the Front Office which covers day to day correspondence, reservations correspondence and filing
- Responsible for ensuring liaison between Front Desk and Maintenance and Housekeeping is undertaken on a daily basis, and that all units are available and maintained on a day-to-day basis.
- Responsible to ensure all work is presented in accordance with Company standards, and in typeset
- Take part in annual job reviews
- Ensure daily pit checks & credit checks (floor limits) are done
- Ensure detailed handover of shifts are done in an orderly and unrushed manner.
- Ensure that all lost property is recorded and stored
- Ensure that all guest complaints are followed up and rectified immediate in a positive and professional manner
- Ensure that wake up calls are offered on arrival, are recorded, and programmed.
- Ensure that the reception area creates a positive impression by keeping it neat, tidy and orderly
- Ensure that you are dressed in correct uniform and are wearing a name badge
- All guests to be met, registered, and roomed with in 5 minutes of arrival at hotel
- Assist guests with airline confirmations, tourist information, personal requests etc
- Assist in the induction and training of all new employees and trainees into Front Office
- Correct method of payment is established and/or received on arrival of guest, prior to a room key being handed out (in the form of a valid voucher, cash prepaid, or a credit card which has to be pre-authorized)
- Ensure that registration forms are filled in completely and the disclaimer signed
- Ensure that switchboard is answered within 3 rings.
- Ensure that stationary levels are adequate.
- Ensure that you work on your own personal id code.
- Attend meetings and training as requested.
- Know and use the Front Office Operations manual.
- Ensure you are familiar with the hotels Emergency Procedures.

**Authority**
- Money
- No authority to sign cheques. Authorized to sign petty cash vouchers at Front desk not more than R100.00. Any amounts of R100.00 and above to be co-signed by a Senior Manager
