Accounting Practice Administrator

Outsourced CFO is looking for an Accounting Practice Administrator to facilitate the Cloud Department processes and ensure processes run smoothly, technology is adopted, and promises are delivered on.
Reporting directly to the Head Cloud Accounting Manager, job responsibilities will include, among other:
**- Team capacity & planning**:
- Reviewing Capacity on Zoho and ensuring it is aligned with reality
- Reviewing POD team planning and ensuring it aligns with requirements
- Reviewing rolled out Zoho projects and working with OPS team to ensure it is correct
- Assisting and delivering projects as identified by Head Cloud Accounting Manager
- Reviewing Individual planning for reasonability once per quarter
- Assisting with planning and scheduling annual AFS drives per POD
- Project managing Annual Compliance drives together with POD leaders
- Reviewing timesheet actual vs budget
- Investigating timesheet variances to determine next steps
**- Client administration**:
- Facilitating and assisting with new client onboarding, offboarding and admin related to it
- Assisting with rescoping needs of clients if necessary
- Maintaining Cloud Client database accuracy on Zoho CRM and other platforms (PI etc.)
- Weekly Client calls
- Facilitating the cloud leadership in getting client documents signed
**- Practice administration**:
- Cloud Software subscription review and recharges to client together with Finance
- Managing Xero and other software user access
- Reviewing Client billing for reasonability
- Ensuring engagement letters agree to client billing
- Assisting in engagement letter preparation
- Overseeing SARS e-filing notification and allocating to relevant team members
- Facilitating Annual Return submissions for clients on behalf of CIPC
- Arranging training and ensuring compliance by team
**- Cloud strategy team responsibilities**:
- Project managing and executing on 90-day projects
- Preparing Data for weekly Level 10 meetings (reporting)
- Weekly Cloud Director meeting preparations
**- Team success, training & company culture**:
- Arranging team events
- Facilitating Staff onboarding and offboarding
- Identify upsell opportunities within existing clients
- Ensure that scheduled training is completed
- Deliverable training update
- Technology certifications
- Internal software usage (Zoho G- suite)
- OCFO Internal processes
- Regular attendance and participation of company team events
- Develop and maintain a positive and productive company culture of teamwork, collaboration and mutual respect
- Promote the company values and ensure they are being adhered to
