About the Role : We are looking for a highly organized and dependable Virtual Customer Service Representative & Administrative Assistant to support a creative art studio based in Pomona.

This part-time, remote role is perfect for someone who thrives in a client-facing environment, has excellent administrative skills, and enjoys helping others through great communication and service. You'll be the first point of contact for customers and play a key role in ensuring smooth bookings, managing records, and maintaining a professional and friendly customer experience.

Key Responsibilities :
  1. Customer Service : Respond to customer inquiries via phone, email, and social media in a timely and professional manner.
  2. Assist with class bookings, cancellations, and rescheduling.
  3. Provide information about class schedules, events, and promotions clearly and courteously.
  4. Address customer concerns and escalate issues to management when necessary.
  5. Monitor and follow up on after-hours inquiries through automated responses or manual replies.
Administrative Support :
  1. Maintain and update booking records, contracts, and customer databases.
  2. Assist with invoicing, payment tracking, and light financial documentation.
  3. Keep internal files organized and accessible for management.
  4. Ensure customer and booking-related paperwork is complete and up-to-date.
Qualifications & Skills :
  1. Prior experience in customer service, virtual assistance, or administrative support.
  2. Strong written and verbal communication skills in English.
  3. Excellent time management and organizational abilities.
  4. Ability to work independently and manage multiple responsibilities.
  5. Comfortable using tools like Google Sheets, Square, and online booking systems (preferred).
  6. Reliable internet connection and a quiet workspace for phone communication.
Preferred Qualifications :
  1. Familiarity with customer engagement and problem-solving techniques.
  2. Experience working with remote teams and following structured workflows.
