Office Assistant

We are seeking a proactive and highly organized Office Assistant to support our team with a wide range of administrative and operational tasks. This full-time role encompasses finance, reporting, office administration, procurement, event management, HR, and travel coordination. As an all-rounder, you will play a key role in ensuring smooth office operations and supporting our sustainability-focused mission and report directly to our Operations Manager. Your tasks- Oversee daily office operations and manage reception duties.
- Maintain office supplies and ensure efficient procurement processes.
- Ensure office activities and other events run smoothly and within budget.
- Handle correspondence, filing, and document management.
- Coordinate with vendors and suppliers and assist with procurement processes.
- Maintain accurate records of purchases and inventory.
- Incoming invoice verification and prepare for the approval process.
- Prepare outgoing invoices and manage receivables.
- Prepare export documentation and coordinate logistics for local and international shipments.
- Review, manage and post expense and credit card statements.
- Assist in planning and organizing of company events, meetings, and marketing initiatives.
- Support HR initiatives and employee engagement initiatives.
- Arrange travel itineraries, accommodations, and transportation.
- Assist with visa applications and travel documentation.
- Proven experience as an Assistant, Receptionist, or Office Assistant.
- Strong knowledge of finance, office administration, and procurement processes is required.
- Excellent organizational and multitasking skills.
- Strong problem-solving skills and can work independently.
- Effective communication and interpersonal skills.
- Task-oriented, team player, and people-focused.
- Honest, proactive, and positive nature with a strong work ethic.
- High level of discretion and confidentiality.
- Reside within easy commuting distance to the Samrand (Centurion) area.
- Proficiency in English.
- Knowledge of XERO is advantageous.
