Payroll Officer

Key Responsibilities:
  1. Maintenance of Employees Master Data System : Ensuring accuracy and completeness of employee information.
  2. Monthly Payroll Input Processing : Managing the process of compiling and processing employee payroll data.
  3. Posting Payroll Entries to General Ledger : Ensuring accurate accounting by posting payroll transactions to the general ledger.
  4. Monthly Reconciliation of Payroll Deductions and Earnings : Balancing payroll deductions and earnings with employee records.
  5. Authorization of Payroll Inputs/Changes : Ensuring all payroll changes are properly documented and authorized.
  6. Auditing and Testing of Payroll Inputs : Verifying the accuracy of payroll inputs through auditing and testing.
  7. Payslip Distribution : Printing and distributing employee payslips.
  8. HR Administration : Handling various HR administrative tasks including leave processing, managing staff information, and benefits administration (medical aid, provident fund, etc.).
  9. Third-party Payment Processing : Timely and accurate payment processing for third-party obligations.
  10. Monthly Payroll Accounting Reconciliations : Reconciling payroll accounts on a monthly basis.
  11. Legislative Compliance : Keeping updated with changes in legislation affecting payroll and ensuring compliance.
  12. Monthly Payroll Returns : Preparation and submission of monthly payroll returns to relevant authorities (e.g., PAYE, UIF, Garnishees, Skills Development).
  13. IRP5 Reconciliation and Distribution : Managing reconciliation and distribution of IRP5 forms.
  14. Adhoc Payroll Requests : Handling adhoc payroll requests from other departments.
  15. Staff Query Handling : Addressing daily queries from staff regarding payroll.
  16. Payroll Administration : Managing payroll administration processes, controls, and data storage/retrieval.
  17. Document Filing : Ensuring proper filing of all payroll documents in accordance with retention policies.
  18. CRS System Update : Updating the CRS system with new releases.
Required Qualifications:
  1. Experience : Minimum 3-5 years in a similar role.
  2. CRS/SAGE Payroll Experience : Advanced experience with CRS/SAGE Payroll software.
  3. Tax Knowledge : Understanding of tax processes including submissions, IRP5 generation, and liaison with tax authorities such as SARS.
  4. Computer Literacy : Proficiency in Word and Excel.
  5. Accounting Skills : Good understanding of accounting principles.
  6. Payroll and Administration Knowledge : Comprehensive understanding of payroll processes and administration.
  7. Attention to Detail : High degree of attention to detail and accuracy.
  8. Numerical Skills : Ability to work with figures accurately.
  9. Administration and Organization : Strong administration and organization skills.
  10. Confidentiality : Ability to handle confidential information appropriately.
  11. Communication Skills : Good communication skills to interact with all levels within the organization.
  12. Initiative : Ability to take initiative and work proactively.
