PROJECT ADMINISTRATOR Position: Temp – 6 months Location: South Africa The Project Administrator supports the effective delivery of projects by providing administrative assistance, maintaining project documentation, coordinating logistics and ensuring compliance with established processes. This role is key to maintaining the operational backbone of the project office and ensuring project teams are well-supported throughout the project lifecycle. Key Responsibilities: Project Administration & Reporting Maintain and update project documentation, records, and registers using PMO tools such as SharePoint, AutoTask, Fluid and Microsoft Teams. Assist with preparation and formatting of project reports, meeting agendas, minutes, and presentations. Ensure all project documentation is stored and archived according to PMO standards. Track project progress, risks, and issues, escalating them for mitigation as needed in the associated PMO tools. Generate and distribute customer‑facing weekly project progress reports. Scheduling & Meeting Coordination Schedule internal and external project meetings, including kick‑off sessions and progress updates. Manage meeting logistics, distribute agendas, take accurate minutes and follow up on action items. Coordinate calendar availability and meeting slots for project teams and stakeholders. Schedule and confirm resource assignments, ensuring readiness for project execution. Document Management & Compliance Maintain up‑to‑date document templates and ensure consistency in formatting and version control. Track the completion of mandatory documentation and compliance checklists during all project phases. Support adherence to due diligence and governance processes by flagging missing items. Stakeholder Communication Support Assist with routine communication to project stakeholders, including the distribution of reports and notices. Help facilitate professional and timely communication with customers and suppliers. Support internal communication efforts within the PMO through updates and administrative coordination. Facilitate daily PMO Team Stand‑ups. Petencies and Skills Strong organizational and administrative skills Attention to detail and accuracy Effective communication and stakeholder management Proficiency in project management tools (SharePoint, AutoTask, Microsoft Teams) Ability to multitask and prioritize workload Problem‑solving and proactive approach Flexibility to accommodate different time zones (including after‑hours or early morning meetings) Experience Experience working in Project Management Office (PMO) environment, supporting multiple projects or programs.
