Key Responsibilities:
Office Supplies Management:
  • Oversee the inventory of office supplies.
  • Ensure timely ordering and replenishment of supplies.
Diary / Calendar Management:
  • Efficiently manage and coordinate the executives diary, scheduling meetings, and appointments.
  • Proactively address scheduling conflicts and prioritize tasks as necessary.
Travel Arrangements:
  • Handle all travel bookings including flights, accommodation, and transportation.
  • Ensure all travel plans are executed seamlessly with a focus on cost-efficiency and convenience.
Invoice and Claims Processing:
  • Process and track invoices and expense claims for approval.
  • Maintain records of all financial transactions related to the office and personal expenses.
Meeting Minutes and Documentation:
  • Attend meetings to take clear and concise minutes.
  • Distribute minutes to relevant parties promptly and follow up on action items as needed.
  • Assist in the preparation of meeting agendas
Project Data Management:
  • Capture, organize, and maintain data related to ongoing projects.
  • Provide regular updates on project status and highlight any areas of concern.
Ad Hoc Administrative Tasks:
  • Provide general administrative support as required.
