Purpose - The Administrative Assistant is primarily responsible for performing the tasks that comprise the after sales service offering to customers, thereby contributing to the ongoing customer relationship.

The focus of the role is to provide quality service and maximize customer retention and referral, in line with the Practice Service Model and Procedures.

The Administrative Assistant is not required to hold a proper authority, though a moderate level of technical knowledge is needed to perform the role well.

The role needs excellent relationship management, secretarial and administrative skills.

Key responsibilities:
Communication with clients and product providers
Managing financial planner
Customer relationship management system

Key activities:

Investment Administration:
Implementation of all new business, including all follow-ups.

This includes completing and submitting application / prospectus forms where necessary, contacting suppliers and ensuring business completes in a timely fashion.

Follow-up any outstanding documentation from the customer.
Ensure the accurate production of all customer portfolio review documentation and reports in line with the practices service model.
Implementation of all switches, including all fund manager follow-ups. This includes completing forms where necessary.
Ensure all customer problems are solved in an efficient manner, often handling the liaison with fund managers and customers. Assist with all customer enquiries, in-line with the company service offer.

This may include delegating the customer inquiry to the most appropriate staff member, and does not include the provision of advice to customers.

Contribute towards the maintenance of existing customer relationships with the company; in-line with the company service process and ensure maximum customer retention is achieved.

General administrative tasks as may be required from time to time.

Competencies required:
Fully bilingual (English / Afrikaans)
Excellent knowledge of MS Office - Excel, Word etc.
Ability to operate independently and in a team
Ability to work under pressure
Accuracy, reliability and strong sense of integrity
Ability to prioritize, organizational/planning skills and multitasking
Time management skills
Quick learning agility and ability to adapt in a fast-paced environment
Client service and good telephone skills ESSENTIAL
Proactive problem solving

Minimum qualifications and experience:
Std 10 (Matric) / Grade 12
Relevant tertiary qualification preferable
At least 2 year relevant work experience within the financial industry
