FINAL STORAGE AND DISPATCH SUPERVISOR

PURPOSE OF THE POSITION
The purpose of this role is to ensure all shipments are packed and shipped as per order requirements received from treasury and complying to International and local Civil Aviation Regulations and for local markets;

  • Stock management and control is monitored daily and related reports are updated;
  • SAP transactions are executed as per requirements;
  • Vault management for International customers;
  • Supporting the SHEQ principles;
  • Managing and leading the FSD associates by ensuring that all Rand Refinery's procedures and policies are adhered to;
  • Ensure processes, material to be packed, despatched and reporting is accurate and up to date. Reporting of equipment (downtime, performance, raising of job card, completion of PTW and quality) issues timeously.

  • Decisions about speed and quality of operation, may involve limited choice of method;
  • Decisions about best method, operation, route or tools to get the job done in a safe environment.

DIVERSITY OF WORK

  • Carries out specialist, technical or first level management responsibilities within a department or discipline.

TYPES OF COMMUNICATION

  • The incumbent is expected to communicate deviations to foreman or FSD's Senior Manager as well communicate with coworkers and clients from other departments within the refinery. The communication should be verbal or written;
  • Detailed technical explanation of products, services or systems to internal or external customers or clients.

EXTERNAL CUSTOMERS

  • Sharing daily stock reports with external customers.

INTERNAL CUSTOMERS

  • Other Departments within the Refinery i.e. Melthouse and Fabrication;
  • Treasury.

RESOURCE PLANNING AND EXECUTION

  • Informing Foreman/Manager for consumable use and stock management.

PEOPLE MANGEMENT

  • Role is responsible to instruct operators and senior operators where discrepancies between physical stock and SAP and highlight any issues to foreman and manager.

OPERATIONAL EFFICIENCIES


Products managed by FSD encompass the following (in both gold and silver) - Coins (blanks and minted), minted bars, granules, wire, discs, kilogram and cast bars, gold solutions, London Good Delivery Bars for both the international and local markets.


  • Receiving finished product from Fabrication and Refinery for packaging, final storage and dispatch;
  • Check and verify product received from internal and external suppliers against SAP with specific attention to the weight and serial numbers of products and associated boxes;
  • Managing allocation and storage of finished product as per instruction from Foreman;
  • Preparation of shipments and associated documentation as per instructions from Foreman for local and international sales;
  • Packaging of product in compliance with Civil Aviation Authority and internal processes and procedures;
  • Checking shipments packed to verify correlation with packing instructions as supplied by Foreman;
  • Verification of blank coin weights per tube as received from the Fabrication
  • Coins department;


 Notify Foreman
  • FSD of any errors picked up in the serializing, numbering, weight deviation of bars and boxes of product;
  • Daily stock check and verification against SAP with FSD Foreman;
  • Update stock report daily after all shipments completed and verified with Foreman
  • FSD;
  • Daily stock verifications and monthly stock verification. Quarterly verification for stock take;
  • Housekeeping and compliance to safety, health, environment, quality and risk standards;
  • Take operators on Forklift and aisle stacker operation training;
  • Appropriate training at approved training facilities as approved by Civil Aviation Authority, compliance to mandatory security checks and other requirements as stipulated in the Civil Aviation Guidelines;
  • First line maintenance.

HEALTH AND SAFETY

  • Complies with and ensures that all health and safety rules are met and acts proactively by addressing any safety concerns which may be harmful to self or other employees;
  • The incumbent is required to adhere to safety standards, work shifts and lift heavy material.

MINIMUM QUALIFICATION

  • Tertiary qualification (a degree or diploma) in Supply Chain Management/ Finance or related.

SKILLS AND ATTRIBUTES

  • SAP stock control and transactions
  • Managing metals balancing and stock control;
  • Compliance with International and local civil aviation training requirements for packing and shipping dangerous goods;
  • Technical, specialist or analytical skills acquired through tertiary education or the equivalent experience;
  • Knowledge of advanced clerical, operational or customer service skills acquired through education, experience or on the job training.
