Scope of Services Definition

  • Collaborate with programme team to identify the voice of the programme
  • Create style guides and brand voice outlines for all projects within the programme
  • Consult with programme team to develop effective communication procedures
  • Edit all programme communication and facilitate approval where required
  • Collaborate with internal communication departments to develop programme material
  • Coach and assist team members on improving communication skill
  • Perform communications research and monitor the progress of various communications strategies

Key responsibilities:

  • Working closely with the change manager/lead, manage engagement with project/programme/portfolio stakeholders internally and externally to establish strong working relationships
  • Development and successful delivery of integrated stakeholder engagement and communications plans in accordance with the overarching stakeholder engagement strategy
  • Manage relationships with key business and external stakeholders to facilitate a common understanding of changes, impact thereof and change plans.
  • Manage integrated stakeholder mapping and prepare communications to stakeholders and respond to stakeholder enquiries
  • Work collaboratively with other members of the project team, the PMO, and the communications team
  • Review, design and develop communication plan, content and appropriate channels of communication in close collaboration with Corporate Communications team
  • Provide briefings and support to technical teams for meetings with stakeholders, this includes assisting with onboarding of project teams and vendors
  • Arrange and attend stakeholder meetings with technical team members and ensure feedback of stakeholder responses and requests to technical teams are responded to within agreed timescales
  • Prepare and manage stakeholder engagement workshops, roundtable and forum logistics including developing agendas, project plans, and production of reports
  • Facilitate relevant communication sessions and engagements and use creative and participative ways to deliver this in collaboration with relevant programme/project/portfolio
  • Ensure accurate audit trail maintained of all stakeholder engagement and all contact/activities are recorded on stakeholder database
  • Conduct relevant assessments to assess the communication loop have the messages landed with stakeholders, suggest possible mitigation actions
  • Utilise and modernise channels example websites, video material and creative graphic creative ways to engage and/or update stakeholders
  • Provide input into monthly reports for PA PMO
  • Develop integrated project/programme/portfolio stakeholder management and communications dashboard to provide a single view of stakeholder engagement and communication across the programme/portfolio

Administration

  • Provides updated actual and estimated hours and timelines, as well as expenses incurred and anticipated, to Change Management Programme Manager.
  • Ensures timeous administration in the Change Management areas of training, communication and resistance management.
  • Provides progress reports to the Change Management Programme Manager

Key performance measures:

  • Implementation of the integrated programme plan and set outcomes achieved.
  • Programme material and content developed
  • Effectiveness of communication initiatives measured on a regular basis

Important relationships

  • Relationships with programme and project managers, HOD's, Divisional heads, change management team, Communication department to ensure integration and well executed implementation of communication initiatives

External Relationship:

  • Relationships with vendors allocated to / providing services to the programme initiatives
  • Knowledge, experience and personal competencies

Education and experience:

  • A bachelor's degree in communication or related field.
  • Post graduate degree will be favourable
  • Minimum years' of jobrelated change management stakeholder engagement and communications experience
  • Experience working on large scale organisational projects in a multifunctional organisation.
  • Experience in project managing change initiative or other relevant businessexperience.
  • Experience with facilitating workshops.
  • Experience in negotiating for desired outcomes.
