KEY PERFORMANCE AREAS:

  • Provide and maintain an efficient and effective filing administration service to the HR Department
  • Engage and liaise with School Administrators, Finance and Payroll regarding the effective submission and processing of claims in line with HR and other requirements
  • Preparation and inspection of files in line with HR ethics, standards and confidentiality requirements
  • Provide a general office administration function to the HR office, including copying, faxing, occasional messenger service including the collection and delivery of documents.
  • Serve as interface between internal and external HR clients by taking messages and acting as an interface between Department/staff and the public
  • Office administration including diary management
  • Coordination of HR logistics in terms of the faculty R&S processes.
  • Procure and control departmental stationery, furniture and office equipment, etc.
  • Drafting of HR correspondence and arranging of travel and accommodation when required
  • Provide secretarial services to all HR Operational and adhoc meetings when required
  • Perform any other tasks and activities which fall within the general functioning of the department as determined by the HR Manager

KEY COMPETENCIES:

  • Must be highly computer literate in MS Office, Email and Internet
  • Experience and understanding of HR Oracle (especially HR Eclaims, I-Procurement and I-Rec)
  • Display high levels of initiative.
  • Knowledge of Registry Management
  • Excellent communication skills (written and verbal)
  • Interpersonal and organizational skills
  • Ability to work independently in a pressured environment and meet deadlines
  • Accuracy and attention to detail.
  • Minimum understanding of budget coordination

MINIMUM QUALIFICATIONS/REQUIREMENTS:

  • HR Diploma or studying towards an HR diploma/degree
  • At least 3 relevant years of filing and general administration experience
  • Must have an understanding of the higher education sector, as well as knowledge of the University's systems and procedures.
