Field Service Admin Coordinator:

Main responsibilities:

  • Tracking Field Service KPI
  • Checking and verifying the accuracy of timesheets and forwarding it to the payroll department then encoding the result to CAT2 every payroll period;
  • Data entry of liquidation of travel expenses in SAP Travel Management, and printing/submitting it to Finance
  • The custodian disburses and replenishes the field service petty cash;
  • Filing, maintaining, and safekeeping of field service documents;
  • Checking and verifying the accuracy of timesheets
  • Initiates the preparation of travel orders and followup;
  • Monitoring of field service personnel assignments on a daily basis;
  • KPI monitoring of work report submission weekly and also job completion on a monthly basis;
  • Submitting of work report to Service Sales and other documents needed for invoicing;
  • Custodian for pooling equipment such as cell phones, digital cameras
  • Handles internal and external communications;
  • Maintains mobile phone contact with base or supervisor for receiving instructions;
  • Responds to emergency jobs on a 24hour 7day basis; and
  • Perform other related duties assigned from time to time.
  • Taking responsibility for Car rentals and hotel arrangements for field service personnel.

Requirements:

  • 3 4 Years experience in a similar role with relevant experience/transferable skills
  • Desirable: Qualification related to a similar role and industry
  • Professional Project Management skills (considered as an advantage)
  • A safetyfirst mindset.
  • Passion for developing resources and excellent Customer Service.
  • Experience in a customerfacing role with responsibility for the collection of costs and invoices.
  • Excellent organizational skills and customercentricity.
  • Demonstrable teamwork skills and the ability to adjust and replan in dynamic situations.
  • Excellent communication skills and welldeveloped cultural awareness and sensitivity
  • Excellent time management
  • Experience in visa and travel arrangements, documentation, etc.
  • Understanding and adhering to data protection law
  • Ability to multitask
  • Knowledge of SAP
  • Computer literacy and presentation skills
