Responsible for the day to day completion of People Services administrative tasks and supporting their local employee base as well as their People Services team.

Works under the supervision of a senior team member, learning the basics of People Services activities.

Responsibilities:

  • Provides general administrative support to the department to contribute to overall departmental goals, policies and procedures.
  • Maintains databases and records, submits required periodic reports as requested.
  • Provides support in connection with the preparation, collation and distribution of documents.
  • Handles administrative queries on behalf of the department for local employees, stakeholders and external companies.
  • Responsible for the filing of all documentation, as well as the maintenance of the filing system.
  • Coordinates and documents meeting minutes and follow up on actions for relevant meetings.
  • Completion of new starter and leaver administration, including paperwork and system changes.
  • Liaises with relevant departments including IT, Finance and Operations for administrative queries.
  • Assists Finance and Payroll with required employee data for audits, benefit administration and system inputs.
  • Completes all basic People Services administration including maintaining records in line with ISO.
  • Organises People Services events with regards to catering, room booking, sending invites etc.
  • Administers absence management policies and procedures including annual leave entitlements, sick leave, maternity etc.
  • Supports the performance review process with the administration tasks.
  • Provides support for local and global People Services projects.

Desirable - An undergraduate degree or equivalent experience

  • Exceptional organisational skills with the ability to prioritise workloads.
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation.
  • Management:
  • Must be flexible, independent and self motivated.
  • Willingness to learn and participate in learning and training for personal and professional development.
  • Good self management, experience in delivering reliably and consistently against defined goals, adapting own approach to ensure goals are met.
