Our client, a Food & Wine Tour Operator seeks to appoint a Reservationist / Office Manager who is passionate about the tourism industry but also have sound administrative and co-ordination and planning skills.

The successful incumbent will be responsible for managing the reservations for various tours, co-ordinate Guides and ensure the smooth running of the administration in the office.


Requirements:

  • Must have at least 3 years reservations experience preferably in a tour operating environment
  • A Tourism Diploma will be advantageous.
  • A good knowledge of Cape Town and the surrounding areas.
  • A confident communicator with a good command of the English language and excellent telephone manner.
  • Must be an independent worker who takes on the responsibility of the position and does not need monitoring.
  • Strong Ms Word and Excel skills.

Responsibilities:

  • Administration duties: _
  • Answering all calls in a professional manner and dealing with enquiries from agents and clients.
  • Making reservations
  • Using Excel spreadsheets to update bookings and accounts
  • Invoicing agents and clients
  • Maintaining a database of payments due and followup on the payments of invoices.
  • Making all necessary bookings for tours which include booking restaurants, wine tastings and stops for tours.
  • Planning the guest's itineraries for tours around Cape Town and sending them through to the clients and guides.
  • Filing all documentation for each tour immediately on receipt of the booking.
  • Keeping track of payments of Invoices.
  • Operations duties: _
  • Managing the team of guides and making sure they have everything they require for each tour.
  • Checking all upcoming tours to make sure everything is in place for the tour.
  • Ensuring the guides have their booking files for the tours and briefing the guides on the requirements for the tours.
  • Providing support for the guides while they are on tour.
  • Checking that all the licenses and permits are up to date and reminding the employer of when the license renewals are due. This includes monitoring the guides and the vehicles.
