Administrative Assistant:

  • To deal with incoming customer enquiries and assisting the sales force with daily sales administrative activities.
  • Contributes to quality customer service and help the sales team meet its targets.
  • Previous experience in similar role.

SKILLS / PERSONAL QUALITIES:

  • Matriculation with a Qualification in Office Administration
  • Must have excellent communication, verbal and grammar skills
  • Ability to prioritise work
  • Responsible to answer the switchboard.
  • Taking phone calls from customers and communicate internally important feedback from customers
  • Detail oriented and high attention to detail
  • Good clerical skills, together with computing and data
  • Supporting the sales force with general operations to help reach the team's objectives.
  • Booking of flights and accommodation for employees and customers.
  • High organised & prioritising skills
  • Arrange appointments for the sales team and supply any presentation or product information that reps need
  • Collecting documents and info from employees to process monthly expense claims.
  • Arranging collections and deliveries with freight companies.
  • Instrumental role in market research.
  • Filing (Daily)
  • Monthly ordering of stationery and groceries and also managing it.
  • Handling of petty cash and reconciling it.
  • Travel reports for sales team activities and customer visits

  • Order toners, services and provide supplier with meter readings (monthly)
  • Computer literacy.
  • Arrange events (Meetings or conferences)
  • Knowledge of ISO 9001 and ISO 1400
  • Order promotional products (pens, gifts, books, calendars)
  • Compliance to Protection of Personal Information Act
  • Make reservations for events and accommodation based on the company's travel policy and guidance from Frist Line Manager
  • Making decisions of Sales Managers travel tickets
  • Time management crucial
  • Submitting monthly expense claims of employees to accounts by the 5th of each month.
  • Tracking and recording Sales Managers/Reps
  • Petty cash recon on the 2nd last working day of the month
