We are currently seeking a Receptionist/Reservationist to join our clients dynamic team at a 4** Boutique Hotel in Cape Town.


As a Receptionist/Reservationist, you will play a pivotal role in ensuring that their guests have a memorable experience right from the moment they make a reservation.

You will be responsible for handling reservations for accommodation and events, as well as responding to inquiries and processing reservations through various channels such as mail, telephone, Whatsapp, direct inquiry, or central reservation systems agents.

You will work closely with the sales office, other hotel departments, travel agents, and OTAs (Online Travel Agencies) to process reservations efficiently.


Key Performance Areas:

  • Manage all aspects of reservations, including responding to inquiries, processing bookings, and updating reservation records.
  • Familiarize yourself with the types of rooms available, their location, layout, and specifications.
  • Stay updated on the selling status, rates, and benefits of all package plans.
  • Adhere to the hotel's credit policy and ensure accurate coding for each reservation.
  • Monitor and respond to requests and reviews on online platforms and OTAs to maintain positive guest interactions.
  • Prepare letters of confirmation for reservations and maintain thorough communication with guests.
  • Coordinate with the Front Desk team to ensure smooth checkin and checkout processes.
  • Process cancellations and modifications promptly, notifying guests and relevant staff members internally.
  • Understand and implement the hotel's policies regarding guaranteed reservations, no shows, deferrals, and refunds.
  • Process advance deposits accurately and communicate with the accounts department.
  • Monitor room availability based on reservations and track future room availabilities.
  • Keep track of advance deposit requirements.
  • Complete daily cashups and ensure correct invoicing and billing for the accounting department.
  • Promote goodwill by demonstrating courtesy, friendliness, and helpfulness to guests, managers, fellow employees, and stakeholders.
  • Be familiar with front office procedures and assist with reception duties when required.
  • Willingness to undertake reasonable requests and delegated tasks from management in various areas of the hotel.

Requirements:

  • Previous experience in a similar role, preferably within the hospitality industry.
  • Excellent communication skills, both verbal and written.
  • Strong organizational and timemanagement abilities.
  • Proficiency in using reservation systems and online platforms.
  • Attention to detail and accuracy in handling reservations and guest information.
  • Ability to multitask and prioritize tasks effectively.
  • Flexibility to work shifts, including weekends and holidays.
  • Familiarity with front office procedures and basic accounting principles.
  • A positive attitude and a passion for providing exceptional customer service.
