Job Title:
Office Assistant & Administrative Coordinator


Overview:

Responsibilities:

  • Manage purchase orders, including researching vendors, obtaining quotes, and placing orders for office supplies, equipment, and other necessary items.
  • Assist management teams with various administrative tasks, including scheduling meetings, preparing documents, and conducting research as needed.
  • Handle invoicing duties, including generating invoices, verifying accuracy, and processing payments in a timely manner.
  • Maintain accurate records of purchases, invoices, and financial transactions, ensuring compliance with company policies and procedures.
  • Coordinate with vendors and suppliers to resolve any issues or discrepancies related to purchases or invoices.
  • Provide support to other departments and team members as needed, contributing to a collaborative work environment.

Requirements:

  • High school diploma or equivalent; additional education or training in business administration or related field is a plus.
  • Proven experience in an administrative or office support role, with a focus on purchasing and financial administration.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accounting software or invoicing systems.
  • Excellent organizational skills and the ability to manage multiple tasks and priorities effectively.
  • Attention to detail and accuracy in data entry and recordkeeping.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with colleagues, vendors, and clients.
  • Ability to work independently with mínimal supervision, as well as collaborate effectively within a team environment.
  • Strong problemsolving skills and the ability to adapt to changing priorities and deadlines.

Preferred Qualifications:

  • Prior experience working in a similar role within the industry.
  • Familiarity with purchasing processes and vendor management.
  • Knowledge of basic accounting principles and financial terminology.
  • Experience with QuickBooks or other accounting software.
