Responsibilities

  • Takes, types up and distributes minutes and agendas for monthly departmental meeting.
  • Greets visitors, enquires as to the nature of their visit and directs them to the appropriate staff member.
  • Develop systems to support the logístical arrangements for programmes and activities.
  • Provide appropriate systems for the practical logístical support for student leaders to carry out their functions, such as booking venues, catering, collating lists, preparing materials, information management (participants, evaluations and so forth)
  • Build capacity in student leadership and ensure appropriate administrative and logístical support for student leadership structures (Res Council, Sub Councils) in consultation with the Senior Coordinators such as interfacing with finance and student treasury.
  • Assisting with managing information between coordinators and leadership structures (there are around 15 subcouncils)
  • Assisting with logístical arrangement as required provide logístical and administrative support for the various governance structures in consultation with the Senior Coordinators. (Residences Committee etc)
  • Provide administrative support for the various student structures (House Committees and Residence Councils) that operate at a central level to enhance their functioning.
  • Provide logístical support for platforms to be initiated such as seminars, workshops and conferences that are hosted centrally.
  • Provide administrative support to the unit as required such as the dissemination and collation of survey feedback, setting up meetings to discuss practitioner research findings and recommendations, collating and disseminating report.
  • Set up engagement sessions with relevant stakeholders according to the annual plan.
  • Assist the team with producing relevant media to promote the vision and strategic objectives.
  • Visit and engage with Wardens and student structures to provide an equitable residence life experience to off campus students.
  • Collate and track the issues arising from these structures and refer to the appropriate offices for resolution.
  • Report on the issues confronting students in leased accommodation on a regular basis and where issues are not resolved by the appropriate offices ensure that these are appropriately escalated.
  • Assist with making information accessible to the target audience.
  • Assist with profiling the work of the office in relevant spaces (physical and online)
