This role is central to the efficient functioning of the office environment.

You will be expected handle general correspondence, any internal issues, whilst ensuring the smooth running of the office and handling all elements relating to the running of the company.

The confidential nature of this position requires impeccable honesty, as well as initiative and decision-making skills.

The tasks at hand are core to the running of the business and should assist the business to achieve maximum efficiency.

The Office


Reporting to the Managing Director, the Accounts Administrator will be responsible to ensure the smooth and efficient running in the day-to-day tasks of the office.

Must have the ability to maintain excellent standards and service levels. When dealing with customers - service is always to be at the best level. We are a customer centric focused business environment

The Accounts Administrator will be responsible for the following:
Accounts

  • Accountable for full debtors and creditors
  • Following up on deposits and balance payments
  • Loading creditors payments (STD bank business online)
  • Sending monthly statements to clients and requesting from suppliers
  • Capturing all entries into QuickBooks & ensure quick books balances to bank account.
  • Updating open invoices biweekly
  • Management of petty cash
HR Assistance

  • Running bimonthly payroll for part time contract staff
General Office Assistance

  • Provide general assistance where required.
  • Overseeing Fleet account (e.g., arranging for renewal cards when needed, flagging exception reports etc)
  • Handling all bank related queries (arranging for new company debit cards, bank letters etc)
  • Ensure constant feedback to Manager on all elements.
  • Ensure that protocol and guidelines are followed and put into place as set out by management.
Competencies

  • Must have own car and valid driver's license.
  • Excellent crisis management skills
  • Computer literate
  • Excellent communication skills and a professional approach
  • Thorough planning and scheduling must be highly organized.
  • Attention to detail is of extreme importance.
  • Must be able to handle pressure.
  • Should be proactive in nature.
  • Ability multitask
  • Knowledge of bookkeeping and QuickBooks
