The main role of the People Operations Coordinator is to manage various People Operations functions ensuring smooth operations, including onboarding/offboarding, record keeping, benefits administration, leave management, compliance, HR systems oversight, employee relations, policy development, and active participation in enhancing employee experiences through People team projects.

Responsibilities

Onboarding and Offboarding:

  • Guide new joiners through the onboarding process and prepare necessary paperwork.
  • Create and issue employment contracts while ensuring compliance with legal and company standards.
  • Coordinate global background screenings and right to work checks, collaborating with managers and IT.
  • Assist in offboarding processes.

Record Keeping:

  • Prepare and submit People Operations reports when required.
  • Maintain and update employee records, ensuring accuracy and compliance with data protection laws.

Benefits Administration:

  • Support in managing employee benefit programs, such as health, dental, and retirement plans.
  • Address benefit-related queries from team members.

Leave Management:

  • Handle employee leave requests, maintain precise records, and ensure adherence to company policies and regulations.

Compliance:

  • Assist in ensuring compliance with federal, state, and local laws and regulations.

People Operation Systems Management:

  • Supervise the Bob system, ensuring data integrity, and offer support to employees with system inquiries.

People Relations:

  • Address employee inquiries and escalate complex matters to senior team members when necessary.

Policy and Procedure Support:

  • Help develop and maintain department policies and procedures and provide guidance to employees on related questions.

People Projects:

  • Participate in department projects to enhance processes and employee experiences.
Requirements

Qualifications:

  • A degree in Human Resources, Business Administration, Psychology, or related field is preferred.
  • Minimum one year of administrative coordination experience with strong organizational skills.
  • Experience in contract drafting.
  • Excellent English communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in administrative tasks and HR software.
  • Familiarity with People Operations practices is a bonus.
  • Collaborative skills across departments like Payroll, Finance, Support, Security, and Legal.
  • Global business understanding and collaboration skills.

This is a full-time, hybrid permanent position located in Johannesburg, South Africa.
