Guest House Manager / Administrator:

Job Summary:

Key Responsibilities:

  • Help develop and strategise the residency program with the Director, from beginning stages to its launch
  • Assist with the planning of the renovation and refurbishment of the guest house in advance of the launch
  • Manage daytoday operations of the guest house, including artist services, smallteam staff management, financial management, bookings management, catering and events management and maintenance
  • Create and maintain a welcoming and comfortable environment for artists
  • Ensure that guest rooms are clean, wellmaintained, and properly equipped with all amenities
  • Work closely with the Director of the residency project and other affiliated organisations
  • Manage all communications with artists, Directors, suppliers and associated organisations for bookings, scheduling, programming and administration
  • Develop and implement guest house policies and procedures
  • Develop and maintain relationships with local vendors and service providers (suppliers)
  • Ensure compliance with all applicable health and safety regulations
  • Manage inventory and procurement of supplies and equipment, including food and beverage items, cleaning supplies, linens, and guest amenities
  • Manage inventory and procurement of art supplies, equipment, and materials
  • Prepare and manage budgets, financial statements, and reports for the guest house, logging and using the system software provided (Xero / Airtable)
  • Plan and coordinate guest flights and travel arrangements
  • Plan and coordinate guest activities and events, such as tours, excursions, and local experiences
  • Plan and coordinate artist residency activities, local travel (Ubers), studio visits
  • Ensure that the guest house is properly maintained, including regular cleaning and maintenance of common areas, guest rooms, and equipment
  • Foster a positive and collaborative work culture
  • Perform any other duties as assigned by Director
Someone who is best suited for this role has:

  • A degree / diploma in hospitality management, business administration, or a related field preferred
  • 3+ years of experience in guest house management or a related field
  • Must have a valid driver's licence and car
  • Must have a working mobile phone
  • Eagerness to work in a unique artist residency space and with creatives
  • Excellent interpersonal, communication, and customer service skills
  • Strong leadership and management skills
  • Ability to work independently and as part of a team
  • Excellent organisational and timemanagement skills
  • Proficiency in Google Suite, Google Calendar, Google Sheets, Google Docs, Dropbox, and Airtable
  • Knowledge of local health and safety regulations
  • Ability to work flexible hours, including weekends and holidays
  • Meticulous and thrives working autonomously

Position:
Full Time

Salary Package:
Will be dependant on experience

Salary:
R20, R25,000.00 per month
