We are seeking an experienced Marketing and Events Coordinator to manage and provide implementation expertise to all small to medium scale Jacaranda FM events and on-air campaigns.


RESPONSIBILITIES:

Marketing administration

  • Updating of the marketing departments promotions and events Calander.
  • Ordering of corporate gifting and working with suppliers to ensure efficient ordering and delivery. To ensure that stock taking of corporate gifts are done regularly.
  • Responsible for getting quotes (at least 3 different quotes) and approval before final decision for ordering is agreed upon.
  • Perform administrative functions of the marketing department.
  • Maintain good customer relations and to coordinate marketing services.
  • Generate PO (purchase order numbers) for invoicing and ensure timeous followups with finance department and suppliers.
  • Ensure new suppliers fill in the required Vendor registration forms and forward them to the finance department to capture their details.
  • Management and distribution of corporate clothing to staff and new joiners.
  • Responsible for receiving, storing tickets for sporting games as well as any other station related events and ensuring that they are handed in to the finance department timeously to have them distributed to the team.
  • Responsible for ordering of business cards on behalf of the marketing department.

Event & Project Management

  • Manage station events and projects according to brief from Marketing Manager.
  • Inspect venues to identify branding opportunities and formulate logistic plans.
  • Recommend new branding and marketing elements to capture audience and sponsors attention.
  • Furnishes presenters and working team with a brief one week prior to event detailing roles and responsibilities.
  • Maintain relationship with sponsors/clients by attending meetings, providing updates, servicing their requests and compiling feedback.
  • Assign budget provided by Marketing Manager and Event Specialist to the relevant requirements of the project, alerting Marketing Manager and Event Specialist to any potential overspend.
  • Assist on all adhoc internal station and trade marketing event queries.
  • Assist on all internal station events.
  • Respond to requests for programming support.
  • Project managing Campaigns.
  • Show and Brand Marketing Plan and Rollout

General:

  • Maintain presence in the marketing department by ensuring assistance to all queries coming into the department.
  • Keep the Marketing manager well informed of any crisis management protocols by internal or external participants.
  • Facilitate and maintain all sporting suites.
  • Ensure regular maintenance of all AV screens in conjunction with the technical, design and programming departments updated on a monthly basis.
  • Be the 'face of marketing' to all encountering the marketing department.

Reporting:

  • Provide specialist marketing support on an adhoc basis on events and other marketing initiatives.
  • Compile post event campaign reports, detailing all feedback from each event and provides recommendations for improvement.
  • Provide weekly status to marketing manager on current projects alerting potential challenges and highlighting wins.
  • Compile monthly marketing report summarizing all project activity for the past month.

Partner Relations**:

  • Maintain good relations with station business partners and sponsors.
  • Proactively set up meetings between station partners and sponsors pertaining to events and projects managed.
  • Execute event and marketing requests pertaining to programming, smaller events and CSI initiatives.
  • Provide strategic, planning and logístical feedback on projects and events to Marketing Manager and Events Specialist.

Marketing Team Participation:

  • Participate and give input as a member of the marketing team.
  • Contribute positively to the marketing team and station.
  • Execute any tasks that may reasonably be expected.

Educational Requirements:

  • AAA, BA Communications, or similar marketing qualification.
  • Project Management Qualification will be advantage.

Skills/Experience Requirements:

  • Min of 3 years' experience in the marketing & events coordination.
  • 2 3 years' experience in Project Management.
  • Understanding of media environment and entertainment industry.
  • Valid Driver's License.
  • Ability to handle change and work well under pressure.
  • Good people 's skills and a good negotiation skill.
