Shonaquip Social Enterprise is a groundbreaking and innovative hybrid Social Enterprise working with people with disabilities.

The SSE has recently transformed from two separate entities, one focusing on barriers to mobility (Shonaquip) and the other barriers in community (Uhambo Foundation) into one combined delivery task team.

Through this process, we have chosen to focus on and strengthen our joint project delivery through building "ecosystems for inclusion".

The organization's head office and factory are based in Cape Town, Western Cape. In Bryanston,
Johannesburg, Shonaquip has a team consisting of three therapists and a wheelchair technician. We are planning to grow and further establish ShonaquipSE's service provision in Gauteng, Mpumalanga,
Limpopo and North West. We are now searching to fill the role of an administrator to assist in the
Gauteng Support Hub.

This person will be responsible for all basic administrative activities including the majority of client related correspondence, follow up appointments, assisting therapists with generating quotations, tracking payments, submitting and following up medical aid claims, quotes, orders and deliveries.

They may be required to occasionally assist the team with admin support in the field on wheelchair seating clinics and trips.

This person should be willing to learn and develop new skills as needed for the position. He/she must be able to work as part of the Gauteng team as well as within the broader organization.

Responsibilities will include:

  • Assisting with generating quotations and pricelist requests for various requests within the organization from clients/ medical aids/ hospitals/schools
  • Management of hard copy files in line with organization/ governing body specifications
(printing client information, keeping files updated and neatly organized for audit purposes, monitoring that files have requisite information for yearly audits)

  • Working with organization's quotation and logistics system (OpenERP/Odoo) and utilizing therapist's notes and order forms/spec sheets to generate relevant profiles/quotes
  • Liaising with admin and finance teams at head office regarding quotes and order progress, and communicating updates to clients/ following up with payments
  • Assisting with medical aid claim submissions and client guidance regarding PMB/ex gratia submissions
  • Work with government healthcare providers for tender related orders and requests
  • Booking of assessments/ reviews for therapists in office and in the field
  • Monitoring organizational admin processes and systems and assisting hub with keeping up to date with relevant internal deadlines/processes
  • Assisting therapists with administrative aspects of remote assistance work for
Limpopo/Mpumalanga/North West clients

Requirements:

  • 3+ years of experience in an administrative or clerical role
  • Proficiency in utilizing Microsoft Office Software (Excel, Word, Outlook, Teams), Adobe Suite
Software (Adobe PDF) and G-Suite/Google Workspace Software (Gmail, Google Drive, Sheets,
Docs)

  • Working proficiency with basic office equipment and technology (phone line, printer etc.)
  • Good communication and organization skills
  • Passion for promoting inclusion of persons with disabilities

Advantageous:

  • Experience within the healthcare field and medical aid submissions
  • Ability to communicate in an additional South African language, especially isiZulu and Sepedi
  • Formal computer skills and/or Microsoft Office qualification
  • Familiarity with Odoo/OpenERP software

Salary:
R12, R13,000.00 per month
