Key responsibilities include the following:

  • Responsible for documentation produced by the Director's office, prepare official documents and memos and ensure that these are handled in a
professional and confidential manner.

  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Manage the Director's calendar, ensuring that appointments are made and communicated to the Director as well as all corrections to the diary, as
necessary.

  • Ensure that all meetings on Almanac requiring the Director's attendance are recorded in the electronic diary.
  • Receive the Director's official visitors courteously and respectfully and provide them with refreshments, as and when necessary.
  • Ensure that the Director is appropriately equipped and has appropriate documentation to attend meetings and events fully prepared.
  • Ensure that appropriate and adequate information is provided for all meetings which require the Director to be present.
  • Screen requests for meetings and have full record of agenda and purpose of meetings.
  • Coordinate the flow of information both internally and with other departments and or organizations.
  • Assist the Director with and following up on new required reports/ documents from managers and other relevant members.
  • Take minutes and service meetings as directed by the Director.
Assist in the timely management of all communications, both written and via telephone.

  • Conduct searches to find needed information, using such sources as the Internet.
  • Maintain and safeguard confidential personnel data for CH&RL and staff records.
  • Be able to pull financial information (budget etc.) from Oracle, IDU and other University financial systems.
  • Create and maintain positive formal/informal links with all staff at the Unit, particularly senior staff in the Division (Dean, HoU, etc).
  • Organizing own work, assist in coordinating projects, setting priorities, meeting deadlines and following up on assignments with minimum of direction.
Required Academic Qualification/s, competences and experience.

  • A matric qualification and a diploma in the relevant field of administrative support with Computer skills (word, excel, project and power point, etc.).
  • 5 years' experience in directly related field/s of administrative support at high level
  • Excellent communication skills.
  • Ability to meet deadlines in a pressured environment.
  • Sound knowledge of university environment and capacity to work with and interact with students.
  • Proven ability to produce quality work.
