Duties & Responsibilities

Rationalised, compliant and contracted sub-contractor database

  • Build and maintain a site-based database of Suppliers, whilst identifying alternative suppliers, thereby ensuring continuity for both Tsebo and the Client
  • Ensure all suppliers legal documentation: Letters of Good Standing; 37.2; Site personnel information is captured and current. Changes to be noted and communicated to Client and Tsebo Management Team.
  • Identify alternate service providers within the industry and setup meetings with on-site Operational Managers for evaluation

Customer focus

  • Client and internal Operational Team deadlines and turnaround times for various processes are achieved.
  • Work with on-site team to develop and maintain a Client focused attitude toward activities
  • Interact with Client to provide and process information in response to enquiries, concerns and requests about services
  • Work with processes and procedures in such a way that operational efficiencies and performance are enhanced
  • Attend to and resolve all client queries timeously or escalate when necessary
  • Follow up and follow through on all escalated queries timeously

Administrative and other support to the Procurement function to maximise productivity

  • Ensure that overall compliance of site operations is in line with contractual requirements, legal requirements, EHS regulations, standards and organisational requirements.
  • Variation/Change Control Notification Documentation: Ensure all variations (Change Management/Control) which affect the Huawei/Tsebo agreement, on all service lines, are implemented and maintained in accordance with the contractual requirements.
  • Ensure mechanisms are in place for effective performance management and review of sub-contractors.
  • Review Hard and Soft Service Level Agreements (SLA's) with external service providers and Category Managers annually. Revise if necessary for inclusion into new SLA's.
  • Ensure continual improvement and the efficiency and effectiveness of the IMS System.
  • Responsible for the implementation of the Integrated Management System (IMS)
  • Monitor the efficiency and effectiveness of the IMS to ensure continual improvement of the system.
  • Report on, monitor, manage and coordinate actions relating to the Corrective Action process.
  • Implementation of systems, processes, procedures and business improvement goals linked to the IMS.
  • Drive standardisation of systems and processes at site level.
  • Ensure that all relevant information pertaining to the IMS system is documented and recorded.
  • Provide administrative support to team members
  • Obtain comparative quotations based on Teams requirements and provide respective on-site Managers with appropriate proposals.
  • Obtain supporting documentation from Suppliers to submit to Tsebo HQ Procurement for onboarding process.
  • Assist Technical Team with documentation and substantiation of recommendation/submissions (Administrative process).
  • Respond timeously and efficiently to all reasonable requests by on-site Managers.
  • Ensure all documentation is checked for completeness and filed accurately per current requirements and on current systems or databases.

Qualifications

  • Minimum Grade 12
  • Studying towards a Valid procurement qualification of equivalent.
  • Matric (Grade 12) or equivalent (compulsory).
  • SAMTRAC / SHEMTRAC or equivalent recognised Safety Management qualification.
  • National Diploma or Degree in Occupational Health & Safety / Safety Management / Environmental Health (advantageous, but not always compulsory depending on level).
  • Registration with the South African Institute of Occupational Safety and Health (SAIOSH) or similar professional body (at least as a Technician; Practitioner or higher preferred).
  • Incident Investigation Training (e.g. ICAM, Root Cause Analysis).
  • First Aid, Fire Fighting, and Emergency Preparedness certifications (advantageous)Knowledge and understanding of Risk Management relating to legislative requirements.
  • Auditing and report writing skills in terms of HSE Compliance.
  • Good understanding and knowledge of Service Level Agreements
  • Understanding and implementing requirements of ISO standards relating to Health and Safety, Environmental and Quality
