Systems Analyst / Product Owner – Clinical Systems Integration

Location: Johannesburg, South Africa (Hybrid)

Working Hours: Later South African start with required overlap until 9 to 10 pm SAST to support Austin clinic operations and US-based vendors

Reports to: CTO (Primary) with a dotted line to the Head of the Executive Clinic

Type: Full-time

About the Role

We are looking for a highly technical, entrepreneurial, and proactive Systems Analyst / Product Owner to serve as the connective tissue between our clinical operations team, our EHR vendor, our CRM and messaging platform vendor, and our in-house development team. This hybrid role blends business analysis, product ownership, system configuration, and technical problem solving to ensure smooth, reliable, and scalable clinical workflows. This person will become the subject matter expert for all clinical facing vendor platforms, owning system configuration, integrations, coordination of enhancements, and ensuring our technology truly supports the clinic's needs. You will play a pivotal role in shaping and optimizing our clinical systems and digital workflows as we scale our Executive Clinic offering.

Key Responsibilities

  1. Vendor Platform Ownership and Configuration

● Become the internal subject matter expert for our EHR system and CRM and messaging platform, understanding capabilities, limitations, and best practice usage.

● Work closely with vendor teams to manage updates, enhancements, troubleshooting, and roadmap discussions.

● Configure system workflows, templates, automations, and integrations to support clinical and operational needs.

● Evaluate and advise leadership on optimal usage patterns, gaps, and opportunities for improvement.

  1. Cross Functional Systems Integration

● Bridge the gap between clinic operations, engineering, and external vendors to ensure systems integrate seamlessly.

● Document integration requirements, data flows, APIs, and dependencies.

● Collaborate with internal developers to scope, test, and deploy enhancements to our in-house member portal and related systems.

● Oversee end-to-end technical implementation of new features, workflows, or vendor solutions.

  1. Product Ownership and Business Analysis

● Act as the product owner for clinic-facing and member-facing systems, driving clarity in requirements and prioritizing enhancements.

● Gather requirements from clinicians, support staff, and leadership, and translate business needs into actionable technical specifications.

● Build and maintain product documentation, workflow diagrams, and acceptance criteria.

● Own the backlog for clinic-related digital systems and drive execution with urgency.

  1. Operational Support and Continuous Improvement

● Provide hands-on support for clinical teams, helping resolve system issues, workflow inefficiencies, and integration bottlenecks.

● Conduct training sessions, create support materials, and ensure smooth adoption of new features or processes.

● Lead root cause analysis for technical issues affecting clinic workflows.

● Monitor KPIs, identify areas for optimization, and drive continuous improvement initiatives.

Required Skills and Experience Technical Skills

● Strong background in systems analysis, technical product ownership, or health-tech operations. ● Experience with EHR or EMR systems, CRM platforms such as Salesforce, HubSpot, or messaging and automation tools.

● Ability to understand and optimize API integrations, webhooks, and data flows.

● Comfortable reading technical documentation and collaborating with developers. Knowledge of SQL, Postman, or system logs is a plus.

● Experience configuring complex platforms, workflows, and user permissions.

Qualifications

● Bachelor's degree in Information Systems, Computer Science, Engineering, Health Informatics, or a related field preferred.

● 3 to 7 years experience in systems analysis, product ownership, health-tech operations, or technical project management.

● Previous experience in a clinical setting, EHR or EMR integration, or telehealth environment is strongly advantageous.
