Reservationist - Luxury Estate - Pretoria

Key Responsibilities

Reservation Management:

Manage incoming reservation requests via phone, email, online platforms, and in-person.

Confirm, update, and maintain accurate guest information, including arrival/departure dates, special requests, dietary requirements, and occasions.

Ensure all dining reservations are correctly logged on DinePlan .

Record spa bookings on Spalon and verify daily schedules.

Monitor room inventory on the PMS system to avoid overbooking while maximizing occupancy.

Coordinate with Front Office and Housekeeping to align guest expectations and room availability.

Prepare picnic menus and ensure delivery details are shared with the chef at least 8 hours prior to arrival.

Customer Service:

Provide courteous and professional service to all guests.

Answer questions about rooms, rates, amenities, packages, promotions, and hotel services.

Handle special requests such as early check-ins, late check-outs, accessible rooms, and group bookings.

Resolve reservation discrepancies promptly.

Maintain up-to-date knowledge of hotel services, promotions, and local attractions to assist guests effectively.

Flexible to work long hours, weekends, and peak periods as required.

Required Knowledge & Skills

High school diploma or equivalent; Bachelor's degree in Hospitality Management or related field is a plus.

1–2 years of experience in reservations, front desk, or customer service within the hospitality industry preferred.

Excellent verbal and written communication skills.

Strong organizational , time-management, and multitasking abilities.

High level of attention to detail and accuracy.

Ability to remain calm and courteous under pressure.

Multilingual abilities are advantageous.

Familiarity with 4-star or luxury hotel standards and delivering exceptional guest experiences.

Professional, trustworthy, and guest-focused.

Team player with a proactive approach.
