Job Summary:

The Office Manager is responsible for overseeing the day-to-day administrative, financial, and operational functions of the office. This role ensures that all business processes run efficiently and in compliance with company policies and South African regulations. The Office Manager plays a key role in supporting sales, procurement, logistics, and customer service departments within the wholesale and retail environment.

Responsibilities:

  1. Office Administration

  2. Manage general office operations, including stationery, supplies, equipment, and maintenance.

  3. Develop and implement office procedures and ensure adherence to company policies.
  4. Supervise office support staff and ensure effective workflow.
  5. Maintain accurate records, filing systems, and documentation (both digital and physical).

  6. Financial Administration

  7. Oversee petty cash, expense claims, and supplier invoices.

  8. Assist with basic bookkeeping, reconciling accounts, and preparing reports for the finance department.
  9. Liaise with external service providers (accountants, auditors, etc.) as required.
  10. Support budget preparation and cost control initiatives.

  11. Human Resources Support

  12. Assist with recruitment, onboarding, and maintaining employee records.

  13. Administer leave schedules, attendance registers, and performance appraisals.
  14. Coordinate staff training and wellness activities.

  15. Operations & Logistics Support

  16. Coordinate with warehouse and logistics teams to ensure smooth order processing and delivery.

  17. Support inventory control, including stock reconciliations and supplier coordination.
  18. Track shipments, handle customer queries, and ensure efficient communication between departments.

  19. Compliance & Health and Safety

  20. Ensure compliance with labour laws, company policies, and health and safety regulations.

  21. Maintain workplace safety records and coordinate with safety officers.

  22. Communication & Reporting

  23. Serve as the primary point of contact between management and office staff.

  24. Prepare regular operational and administrative reports for management.
  25. Support internal communication and assist with company events or meetings.

Qualifications:

  • A degree or diploma in Business Management, Supply Chain Management, or equivalent.
  • Minimum of 3–5 years' experience in an office management or administrative role within the wholesale or retail industry.
  • Proficient in MS Office (Excel, Word, Outlook, PowerPoint) and ERP systems.

Job Type: Full-time
