Role Overview
The Admin Assistant (South Africa) will provide full-time administrative and operational support across Aetherbloom's UK and South Africa teams. This role requires a highly organised individual with strong experience in administrative support, communication, and cross-team coordination. You'll play an important role in supporting senior leaders, managing documents, making outbound business calls, and ensuring smooth day-to-day operations across the organisation.
This is a key role in supporting UK clients and internal operations while ensuring timely and high-quality delivery.
Key ResponsibilitiesAdministrative Support
- Manage digital files and workspaces in Google Drive, Docs, Sheets and Slides.
- Prepare presentations, reports and documentation for internal and client use.
- Perform data entry, file organisation and document control tasks.
- Support onboarding documentation and operational admin tasks.
Communication & Coordination
- Manage the Director's inbox: triage, prioritise, and draft responses.
- Confidently make outbound calls to clients, suppliers or internal teams.
- Schedule meetings, prepare agendas, take minutes and track follow-up tasks.
- Coordinate communication between UK and South African teams.
Operational Support
- Support ongoing operations, workstreams and administrative processes.
- Help implement improvements to workflows, tools or documentation.
- Ensure tasks are completed efficiently and on time.
Client & Team Support
- Respond promptly to internal and external queries.
- Maintain professionalism and confidentiality in all communication.
- Assist the wider operational team with admin-related tasks.
Requirements
- Minimum 3 years' experience in administrative support, executive assistance or virtual administration.
- Call centre or customer service experience strongly preferred.
- Strong communication skills with a high standard of written and spoken English.
- Advanced proficiency in Google Workspace tools.
- Experience supporting senior leaders or directors.
- Ability to handle a high volume of communication and multitask effectively.
- Strong organisational skills with excellent attention to detail.
- Comfortable working independently in a remote environment.
- Ability to adapt to UK business culture and expectations.
- Must have stable internet and a quiet working environment.
Preferred
- Experience in a BPO, outsourcing, or customer service environment.
- Familiarity with CRM systems or project management platforms.
- Prior experience supporting UK-based clients is advantageous.
Working Conditions
- Full-time role based in South Africa (hybrid role)
- 40 hours per week aligned with UK business hours.
