The Operations Supervisor Johannesburg will be responsible to maintain and improve operational service standards within the Johannesburg Operations as predetermined by the respective World Courier SOP’s, Working Instructions and policies. This role will require supportive activities to different job functions as well as extensive leadership skills.

PRIMARY DUTIES AND RESPONSIBILITIES:
Operational compliance & Operational excellence

Oversee, Supervise and be accountable to the Operations Manager Johannesburg for the correct execution of the daily operational functions which include:
Import procedure in compliance to the applicable organizational and national regulations (e.g. import customs clearance, track and trace for inbound flights).

Export procedure in compliance with the applicable organizational and national regulations (e.g. export customs clearance, booking of flights, issuing of Master Airway Bills, and final preparation of client’s shipments).

Dispatch functions (e.g. ensuring an effective daily structure to cover all collections, deliveries, recoveries, airline tenders and replenishments).

Ensure the companies temperature control handling SOP’s are being followed rigorously in order to ensure shipment integrity at any time.

CSS Functions (e.g. making sure that collections and deliveries are completed in a timely manner as per arrangements made by the CS team. Ensuring a constant communication flow between the CS, CSS and the Johannesburg operations teams).

If necessary execute the above described tasks (e.g. if the team is short on staff).

Ensure that the operational staff in Johannesburg is trained within the following systems in order to execute their tasks in a compliant and cost-effective way:

- Transport Management System (TMS).
- JetStream.
- ShipShape.
- DASH.
- Coldstream Select.
- OMNI - BSNG.
- CTMStar.
- OpStar.
- OptiView.
- Cubixx.
- X-Act.
- Any new and upcoming programs / systems.

Quality and support functions

Ensure that the Operational Key Indicators are meeting the organizations expectations.

Support the Operations Manager Johannesburg by preparing and analysing the Key Performance Indicators for the Johannesburg office. Share the KPI results with the local Operations team.

Support the Operations Manager Johannesburg by preparing and analysing the monthly Event Incident Report. Share and communicate the report with the local Operations team.

Support the Operations Manager Johannesburg and Local Transport QA by creating corrective and preventative action reports (CAPA Reports). Be the responsible person for re-trainings and implementation of corrective actions. Also provide support by effectively implementing new QA procedures, Working Instructions, guidelines, documents and SOP’s.

Support the local QA transport and if necessary take the lead in Change Control Management processes, affecting the operations in Johannesburg.

Monthly generation of Self Inspection Reports for the Johannesburg Branch together with Operations Manager Johannesburg to ensure Quality Procedures are follow, Health & Safety adherence and Office Maintenance.

Support the Operations Manager Johannesburg in the annual budgeting process.

Support the Customer Service department as well as the Sales department whenever required. Consult both departments to optimize the requested logistics solution and create the most attractive quotations in order to win the business.

Support the Temperature Control Specialist in the analyzation process of Temperature Deviations and further duties, such as Cool Chain Management of fridges and freezers in Johannesburg.

Support the Special Projects Manager in the execution of current or upcoming projects, whenever required.

Leadership Responsibilities

Effective delegation of tasks to direct reports including the necessary follow-up work.

Identify and foster strength of your direct reports in order to support their growth.

Drive engagement of the operational department and beyond by demonstrating approachability and proactively offer support whenever required.

Whenever necessary, initiating staff warnings/disciplinary process in a fully transparent and compliant way.

Prepare performance development reviews for Team members.

Administrative tasks

Check and approve invoices as per Delegation of Authority.

Authorise leave for OPS staff.

Complete monitoring and allocation of charges including cost control in Operations.
