This is an administration role within the Neighbourgood Property Services business. This role is responsible for all the administration requirements of the locations and properties within the Neighbourgood portfolio. The role entails overseeing, populating, drafting and executing lease agreements, sale agreements, addendums and other required property and member documentation. The role includes being the custodian of various administration records with regard to the properties. Key Performance indicators include the number of outstanding membership agreements, renewals and leases as well as the respective turnaround times to execute such agreements. The expected turnaround time for the preparation and finalisation of a lease or membership agreement is within 24-48 hours. As the role is highly administration focused with a requirement for high attention to detail. The individual is required to maintain impeccable record keeping within the the execution of duties and ensure relevant cross checking is in place and adapted to changes across the organisation.

**Responsibilities**
- To provide administration support to the leasing and sales teams to facilitate the letting or selling of new and existing developments as well as maintain all renewals across the managed portfolio.
- To maintain strong record keeping of documentation and agreements within the organization.
- Establishing and maintaining mutually beneficial relationships with members, contractors, service providers, management and team members by assisting in resolving any administration requirements of the portfolio.
- To drive the administration requirements of the leasing and sale processes to ensure all required documentation is in place and any monies owing are collected timeously.
- To check the monthly creditors have been captured and paid.
- To assist in drafting and sending the monthly report to our Property Partners on the performance of the locations and properties within the portfolio.
- To oversee and develop the reporting requirements along with the property management teams to drive effective management decisions.
- To make recommendations to improve the efficiency or performance of the leasing process and administration functions.
- Implement administrative changes to ensure that location documentation is up to date and leasing targets are met.
- Set, manage and monitor team tasks and duties on the company task tracking system (currently ASANA)
- Oversee the administration requirements in regards to the maintenance of each location.
- Ensure quality member relations and resolve escalated issues.
- Ensure compliance to Company policies and procedures and other applicable laws and regulations.
- Monitor collections and follow up on payments from tenants and members in arrears.
- Execute insurance claim forms and ensure claims are appropriately managed.
- Respond and attend to requests for information from the property management system.
- Ensure Company policies and procedures are being adhered to.

**Qualifications and Experience**:

- Minimum 5 years professional knowledge and/or work experience in a property administration function.
- Experience on MDA property manager is essential
- You will be able to demonstrate a high level of agility in a demanding environment and be able to effectively communicate with a broad range of stakeholders.

**Salary**: From R10,000.00 per month

Ability to commute/relocate:

- Cape Town, Western Cape: Reliably commute or planning to relocate before starting work (required)

**Education**:

- High School (matric) (required)

**Experience**:

- MDA property manager system (required)
- 5 property administration experience (required)
