Job Title - Senior Assistant Officer (post level 12) Job ID: 6004 - Organizational Unit - University of the Free State -> Vice-Rector: Operations -> Finance - Contract Type - Permanent - Occupational Level - Semi-Skilled - Location - Bloemfontein Campus - Bloemfontein, FS ZA (Primary) - Closing Date - 10/1/2025 - Description - Applications submitted through any other platform will not be considered.** - A detailed curriculum vitae and cover letter. - Copies of qualifications (please provide the SAQA accreditation in the case of foreign qualifications). - A copy of your identity document (ID or passport in the case of foreign nationals). - Proof of registration with a Professional Body (if applicable). - A copy of your driver’s license (if applicable). - Confirmation of employment from current employer / last employer if unemployed (only applicable to external applicants). **Duties and responsibilities**: - Prepare attendance registers and confidentiality documents. - Schedule meetings and book venues for information and evaluation sessions. - Assist with minute keeping of tender meetings. - Prepare and place tender advertisements. - Responsible for facilitation and custodianship of tender openings. - Prepare monthly tender summary reports. - Responsible for following up of additional information, addendums to contracts and information required for mandatory and functionality review. - Provide support as back up to purchasers. - Assist with data capturing on supplier’s database. - Assist departments with tender requests and processing. - Conduct research and interpretation of different tender requests. - Prepare templates for different tenders. - Perform mandatory tender evaluation per tender and assist with functionality review of tenders. - Prepare and compile evaluation reports. - Review and interpretation of contracts. - Assist with back up in chairing information sessions and evaluation discussions. - Review of University Estate and ICTS tender submissions and reports. - Enforce UFS procurement policy. **Inherent requirements**: - A LLB degree on NQF Level 8 or a BCom Law degree on NQF Level 7 with a minimum of one (1) year experience in tender administration and facilitation.
