**Location**: Pietermaritzburg, KwaZulu-Natal, South Africa
**Job Summary**:
**Key Responsibilities**:
**Administrative Support**:
- **Calendar and Schedule Management**: Efficiently manage and coordinate a complex calendar, including scheduling appointments, meetings (both virtual and in-person), and conference calls across different time zones. Proactively resolve scheduling conflicts and ensure effective time management.
- **Information and File Management**: Establish and maintain organized filing systems (both electronic and physical), ensuring easy access to important documents and information. Implement and maintain efficient data entry and record-keeping processes.
- **Meeting and Presentation Support**: Prepare agendas, take minutes during meetings, and follow up on action items. Assist in the creation and formatting of presentations, reports, and other documents.
- **Office and Supplies Management**: Ensure the smooth running of the office environment, including ordering and maintaining office supplies, liaising with building management and service providers as needed.
- **Errand Management**: Undertake various errands as required, such as postal services, banking, dry cleaning, and shopping.
**Personal Support**:
- **Personal Appointment Management**: Schedule and manage personal appointments, including medical appointments, salon visits, and other personal commitments.
- **Event Planning and Coordination**: Assist in the planning and execution of personal events, such as dinners, parties, and social gatherings.
- **Household Liaison**: Coordinate with household staff (e.g., cleaners, gardeners) and manage related schedules and communication.
- **Bill Payment and Expense Tracking**: Assist with the management of personal bills and expenses, ensuring timely payments and maintaining accurate records.
- **Gift Procurement and Management**: Assist with the selection, purchase, and wrapping of gifts for various occasions.
- **Personal Travel Arrangements**: Organize and manage personal travel plans and itineraries.
- **Research and Information Gathering**: Conduct research on various topics as needed, such as travel destinations, service providers, and personal interests.
**Additional Responsibilities (Depending on Skills and Needs)**:
- Social media management (posting updates, basic engagement).
- Basic bookkeeping tasks (managing invoices, expense reports).
- Assisting with personal projects and initiatives.
- Personal shopping for clothing and other items.
**Qualifications and Skills**:
- Proven experience as a Personal Assistant or similar administrative role.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills, with a professional and courteous manner.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High level of discretion and confidentiality.
- Ability to work independently and proactively.
- Strong problem-solving skills and attention to detail.
- Valid driver's license and own reliable transportation may be required.
