**About the Role**:
City Estate Solutions manages a portfolio of long-term lets and serviced accommodation properties based offshore. As a Property Manager, you will be responsible for overseeing and managing all aspects of the portfolio from our office in Rivonia, Johannesburg. This role is ideal for someone with strong administrative, organizational, and people skills, who is also comfortable with remote property management operations.
**Key Responsibilities**:
- **Tenant/Guest Management**:
- Oversee tenant and guest onboarding/offboarding processes, ensuring all documentation and systems are updated.
- Ensure high levels of customer satisfaction by addressing issues promptly and maintaining a strong communication line.
- **Maintenance Coordination**:
- Organize and schedule property maintenance, repairs, and cyclical upkeep, ensuring timely and efficient completion of tasks.
- Liaise with contractors to resolve maintenance issues and monitor the completion of work.
- Maintain a comprehensive database of maintenance history and property records.
- **Supplier and Contractor Management**:
- Manage relationships with suppliers and contractors, ensuring services meet company standards.
- Review and approve supplier invoices, working closely with the finance department to ensure timely payments.
- Ensure emergency call-out services and key contractor details are up-to-date and readily accessible.
- **Compliance & Documentation**:
- Ensure properties are compliant with statutory requirements, including inspections and insurance obligations.
- Maintain organized records of utility meter readings, insurance, tenancy agreements, and property guarantees.
- Assist in creating and managing a property database for each asset, documenting warranties, manuals, and all relevant details.
- **Team Leadership & Supervision**:
- Lead and manage a team, ensuring high performance and that all property management tasks are completed efficiently.
- Provide coaching and support to junior staff, ensuring smooth daily operations.
- **Performance Monitoring & Reporting**:
- Track property performance, rental collections, and maintenance schedules, ensuring goals are met and properties are kept in top condition.
- Prepare regular reports on property status, financial performance, and compliance for the senior management team.
**Working Hours**:
- **Regular Schedule**: 45 hours per week, alternating bi-weekly between day and night/weekend shifts.
- **Week 1 (Night and Weekend Shift)**:
- Tuesday - Friday: 12:00 pm - 6:00 pm (plus 2 hours evening call duty).
- Saturday - Sunday: 8 flexible hours.
- **Week 2 (Day Shift)**:
- Monday - Friday: 10:00 am - 6:00 pm.
- On-call coverage may be required for urgent issues outside normal hours.
- **Experience**: Minimum of 2 years in property management or a related role.
- **Skills**: Strong organizational, communication, and leadership skills. Ability to manage multiple properties and tasks simultaneously.
- **Education**: A degree or relevant certification in Property Management, Business Administration, or a related field is advantageous.
- **Personal Attributes**: Highly motivated, proactive, and detail-oriented with a strong focus on customer service.
