Office Administrator/accounts Assistant

Key Responsibilities:
- **Office Administration**:
- Manage daily office operations, ensuring a well-organised, efficient, and professional environment.
- Oversee office supplies inventory, ordering when necessary, and ensure office equipment is well-maintained.
- Coordinate with vendors and service providers for office maintenance and supplies.
- **Basic Fleet Management**:
- Assist in tracking and maintaining company vehicles, including scheduling regular maintenance and handling fleet documentation.
- Monitor and report vehicle usage and related expenses.
- **Debtors and Creditors Management**:
- Perform data entry for accounts payable and receivable, ensuring accuracy in capturing invoices and payments.
- Reconcile supplier statements and assist in managing the aging of accounts to support cash flow.
- Follow up on outstanding payments with debtors and address queries from creditors.
- **Bookkeeping Support**:
- Assist with preparing invoices, capturing expenses, and processing transactions in our ERP system, Xero.
- Support month-end and year-end closing processes, including basic reconciliations.
- Prepare and maintain basic financial reports for management review.
- **General Office Support**:
- Assist with scheduling meetings, coordinating office events, and arranging travel when required.
- Maintain organised filing systems for both physical and digital records.
- Provide general support to other departments and management as needed.
**Requirements**:
- **Education**: National Diploma or higher.
- **Experience**: Minimum of 3-4 years in an office administration or accounting assistant role, with experience in basic fleet management preferred.
- **Skills**:
- Strong organisational skills with a keen eye for detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Xero ERP system.
- Excellent communication skills, both written and verbal.
- Ability to multitask and prioritise effectively in a fast-paced environment.

- A proactive attitude and willingness to assist in various aspects of office management and accounting tasks.
