Commercial Lease Administrator

Lease Agreements and Renewals
- Acknowledge receipt of notice and update vacancy schedule, ensuring updated vacancies are received from landlords/brokers
- Renew and update leases
- Keep track of leases that are sent out to both tenant and Landlord for signing. Ensure that leases are received timeously
- Once lease is signed by both parties lease must be indexed and a copy sent to the tenant
- Unit adjustment and Recoveries
- Raise all recoverable expenses for both property and agent before statement close off.
- Make all necessary journal adjustments
- Process increase in charges, Notice letters to all tenants.
- Do schedules for water and electricity readings
- Loading electricity, water and recoveries on tenant accounts.
- Maintenance
- Fielding and routing of queries
- Issuing job cards for work that needs to be done
- Following up on outstanding maintenance jobs
- Managing ongoing maintenance matters (obtaining owner’s approval to contacting the contractors etc.)
- Owners Statements/Report/Payments
- Preparation of statements for delivery/postage.
- Indexing of all statements
- Manage the owner payment process.
- Send monthly tenant statements
- Rent Invoices
- Print, fold and prepare invoices for postage and delivery.
- Update the hand delivery schedule
- Ensure that the invoices on the hand delivery schedule have been signed for
- Admin / Filing & General Support
- Faxing, photocopying and indexing on q doc’s
- All filing
- Prepare bulk notices to landlords and tenants
- Indexing of all documents standard and Adhoc
- Opening of new Landlord and tenant files
- ITC of new lease applicants
- General upkeep of all administrative functions and office environment
- Attending to adhoc queries for the Commercial Department
- Brokers
- Assist with general admin and setting up of appointments
- Record of enquires for lets
- Send vacancy list to brokers
