**Job Summary**:
The Administration Assistant will provide comprehensive administrative support for managing property sales, remortgages, and related tasks within the property management sector. This role involves close coordination with internal teams, maintaining accurate records, ensuring compliance with internal processes, and delivering a high standard of service.

**Key Responsibilities**:
**Processing Property Sales & Remortgages**:

- Assist with pre
- and post-sales tasks for properties within estates under management.
- Manage and coordinate responses to pre-sale and remortgage enquiries, ensuring timely and accurate communication.
- Collaborate with property managers and relevant teams to provide current property-specific information.
- Process Notices of Transfer and Charge, update ownership records, and handle other post-sales documentation.
- Process invoices and record payments related to pre-sales and post-completion activities.

**Administrative Support**:

- Assist property managers, finance, and major works teams with enquiries relating to lease interpretations, disputes, and Land Registry searches.
- Maintain accurate computerized and manual records for leasehold ownership and property details.
- Update and manage tickets in property management software to ensure timely task resolution.
- Build and maintain professional relationships with external stakeholders such as solicitors, insurers, and surveyors.

**General Responsibilities**:

- Monitor KPIs, including income generation for administrative activities.
- Participate in team, departmental, and corporate project planning as required.
- Ensure compliance with Data Protection legislation and maintain confidentiality at all times.
- Perform additional reasonable duties as assigned by management.

**Qualifications**:

- Relevant experience in property management administration or a related field.
- Property Transfers experience is desirable but not essential.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proven ability to handle high volumes of administrative work efficiently.
- Proficiency with property management software and Microsoft Office Suite.

- Ability to work independently and collaboratively within a team.
- Effective problem-solving skills.
- Capability to prioritize and manage multiple tasks effectively.

**Benefits**:

- Working Hours: 09:00 to 18:00 SAST, Monday to Friday.
- Salary: R20,000 per month (depending on experience).
- Leave: 15 days annual leave plus public holidays.
- Contract: Permanent.

**Additional Information**:
This is a remote role requiring residency in Cape Town due to occasional visits to the Stellenbosch office. Reliable internet access during working hours, including periods of extended load shedding, is essential.
