**Role Purpose**
- Coordinate and support the day-to-day operational functioning within the area of responsibility, by providing administrative assistance to the **Head of Human Capital**.

**Duties & Responsibilities**
- **
PROCESS**:
- Provide administrative support to the HC Head (typing, compiling, writing and filing documents such as memos, letters, minutes and reports.)
- Update the filing system (TEAMS and other internal portals) and keep it up to date.
- Perform general secretarial and administrative duties, including taking minutes in meetings, managing escalated queries, compiling reports, controlling the budget, controlling stock and equipment and purchasing office supplies.
- Coordinate and plan meetings, events, functions etc.
- Compile daily, weekly and monthly statistics.
- Design PowerPoint presentations, set up Excel workbooks and create Word documents.
- Arrange relationship building sessions with HC Head and Executive stakeholders
- Proactively manage, coordinate and maintain the diary of the Human Capital Head.
- Coordinate all aspects of meetings, workshops and functions (venue logistics, catering) according to the Head’s requirements, and within budget parameters.
- Administrative support for meetings and workshops (collate, compile and distribute agendas, presentations, minutes within agreed timeframes).
- Manage travel arrangements for the Head, according to agreed business process and budget parameters.
- Manage incoming calls and correspondence (paper and electronic), responding independently where possible and in line with authorised judgement.
- Ensure files (paper and electronic) are kept in order and easily accessible by the Head.
- Prepare and check invoices and arrange for payments to ensure adherence to requirements and Service Level Agreements.
- Ensure office equipment is regularly maintained by relevant service providers.
- Monitor and respond to incoming communication on behalf of the Head, where appropriate, ensuring efficiency and timeous response.
- Manage incoming queries and SLAs of the team by assigning, directing and escalating all queries.
- Report on the operational activities within the area of responsibility to inform operational efficiencies.
- Assist in the preparation of regularly scheduled reports, as required.
- Reconcile and maintain supplier accounts and records to ensure good standing.
- Operate electronic mail systems and coordinate the flow of internal information and external correspondence, where applicable.
- Compose, type and distribute meeting notes, routine correspondence and other documents or reports as per agreed timelines and guidelines.
- Establish own work procedures or schedules to manage and keep track of daily activities and tasks.
