Office Administrator

The Big Picture:
Howden Africa Compressors and Turbines Division is looking for an Office Administrator to oversee secretarial and general administrative duties for the General Manager, Engineering, Manufacturing, Quality and Accounts departments. The position is based in Sasolburg.
What needs to be done?
- General typing such as letters, tenders and minutes of meetings for the Departments. Ensure all documents are accurate, completed in the required format and within agreed time frame.
- Planning / diary management: Manage the diary of the General Manager to ensure proper management of their daily/weekly/monthly schedules. Prepare and disseminate correspondence as required.
- Attend to queries both external and internal, provide information, escalate and follow-up if required.
- Assist Finance with their administration to ensure smooth running of the department.
- Track stock of office supplies and place orders when necessary. Report faulty equipment to ensure that they are repaired on time and according to set standards
- Maintaining a comprehensive filing system for Works, Quality and Accounts departments. File all hard copies electronically to ensure that records are up to date and accurate.
- Booking and managing of all Medical bookings, Medical Control Register, Training bookings, Training Matrix and Induction Cards.
- Maintaining and setting up meetings schedule for the departments as required.
- Assist EHS department with their generic EHS files.
- SOX Compliance: Adhere to Sarbanes Oxley and AX controls
- Adhere to environmental health and safety standards to ensure that the company comply with the relevant legislation and quality assurance management systems
What do you need to bring?
- Matric/ Grade 12
- Formal Secretarial/ Office Administration qualification
- At least 3 years experience in a secretarial and office administration position
- Proficiency in Microsoft Word, Excel Outlook, and PowerPoint.
- Clear communicator (oral and written). Must be able to understand and be understood well.
- Telephone skills/etiquette.
- Ability to handle conflict (deal with irate people).
- Ability to work under pressure with mínimal supervision.
- Good planning and organising skills
- Attention to detail and working to high standards
- Time management skills
